Department Custom Scope
The Assistant Athletics Director of Facilities and Equipment has the overall responsibility for direct oversight of facility maintenance and management of intercollegiate athletics facilities with emphasis on safety, functionality, presentation and ensuring that intercollegiate facilities are at or above Division I expectations. In addition, will have the responsibility of the day to day oversight of the intercollegiate athletics equipment operations and the facility?s rentals. This position will operate within an atmosphere of compliance, integrity and within the scope and intent of NCAA, conference and University regulations and policy's. This position will be responsible for developing and maintaining a comprehensive departmental facility safety plan to be revised annually as necessary. This role will be responsible for working with the intercollegiate compliance department on compliance related matters and paperwork surrounding facilities and equipment. This position will be working nights, weekends and holidays.

Key Responsibilities

Description % Time
May have full accountability for inventory, storage, budget and maintenance of sports equipment, facilities and other operational activities.
  • Will work closely with the AD of Operation and Ticketing on Facility scheduling and event related items as needed. Responsible for facility maintenance coordination for all athletic facilities and venues, assuring they are competition ready. Liaison to campus Facilities Services and outside vendors regarding repairs. Works closely with Facilities Services Grounds to ensure proper maintenance of Athletics turf. Independently and regularly inspect all Athletics venues to ensure that maintenance and upkeep are being performed properly and repair requests are submitted/ completed in a timely manner. Responsible for performing basic repairs to facility and event equipment as needed (including signage); ensures that facilities are kept in a clean and orderly condition. Using historical records and inspection, develops and regularly updates a plan for maintenance and replacement of Athletics facility equipment and infrastructure items. Responsible for interpretations of UC policies related to facilities.

Independently applies intercollegiate athletics professional concepts, policies and procedures in a specific area of athletic administration.
  • Assist in the planning and implementation of improvements to existing facilities and for future construction. Provide oversight to complement University management, as well as to ensure that departmental resources are being used wisely and appropriately. Have a thorough understanding of materials being used and their functions/ maintenance requirements. Obtain and appropriately track/ file all documentation relating to a project.

Assist with facility setup for each venue prior to events. Works closely with the AD of Operations and Ticketing with facility setup for each venue prior to events. Serve as game manager or assistant game manager at intercollegiate and special events. This includes acting as liaison with officials, visiting teams, security, parking, concessions, and other related groups, as well as providing customer service functions.

Analyzes and implements new or revised standard operating procedures and guidelines for area of responsibility.

Supervise and direct the activities of the Dir. Of Equipment, other facilities and equipment staff including student Assistants. Including hiring, mentoring, training, supervising and evaluating performance. Assist in the development and management of annual budgets; assist in development and maintenance of area policies and procedures manuals (i.e., for facility rentals and equipment policy); coordinate logistics related to departmental office and furniture moves (including installation); duties as assigned. Position requires working after hours, holidays and weekends, as necessary based on sports schedules.

Oversees maintenance of files, database and reporting for area of responsibility.

Serve as liaison to non-Athletics users of facilities. Independently responsible for all aspects of usage, including obtaining the initial reservation request, ensuring facility availability and appropriateness, processing and certifying necessary documentation (i.e. contract and insurance), coordination with necessary campus entities (i.e. Risk Management and Facilities Services), scheduling of oversight staff, ensuring payment, budget reconciliation/ tracking, and post event assessment/ repair.

Successful experience performing all duties with the highest standards of professionalism and ethical behavior and in accordance with institutional and collegiate athletics program regulations, policies, and procedures. Required
Ability to utilize basic maintenance tools and field maintenance equipment. Required
Strong working knowledge of day to day store operations. Required
Current certifications in CPR, AED, and First Aid. Preferred
Ability to utilize appropriate facilities and equipment room management software and applications. Preferred
Certification or willingness to undergo certification for operating a standard maintenance lift, and appropriate use of that equipment to perform tasks (i.e. signage replacement). Preferred
Turf certifications, such as Turf Grass Management, etc. Preferred
Understanding of NCAA and Big West conference rules and regulations. Preferred
Experience in general scoreboard/ public address system calibration and maintenance. Preferred
Ability to utilize equipment for athletics apparel (i.e. Washers, dryers etc.) Preferred
