The School of Medicine is driven by self-motived employees who are able to multi-task and work effectively as team members to accomplish a wide range of deliverables. With oversight and direction from the Associate Director of LACE, the Longitudinal Ambulatory Care Experience (LACE) Program Coordinator is responsible for the operational management of the accredited medical training program. The position requires a comprehensive and detailed understanding of policies, as well as a high degree of initiative and independent judgment. The LACE Program Coordinator will continually assess and direct a wide range of programmatic issues including long range planning, assisting in the recruitment of faculty, developing projects, analyzing administrative workflow, maintaining databases and relationships, communicating with faculty and students regarding a range of issues, and managing internal and external relations.

Key Responsibilities

Coordinates implementation of professional health educational activities, which may include program competencies, curriculum, and exams.
  • Develops and distributes medical student schedules for LACE program. Sends student rosters with assigned dates to each site/faculty and internal departments at the School of Medicine.

Ensures administrative, financial and other program operations are compliant with accreditation standards, University policy, and other regulatory requirements. Prepares reports and follows up as necessary.
  • Develops, implements, and oversees the maintenance of filing, record keeping, distribution of materials, and other types of office/program systems. Evaluates and standardizes office procedures and effectively troubleshoots and resolves issues. May assist in program-level policy development.

Serves as point person for learners, which may include prospective health professions education program candidates; current health professions education learners; and all other stakeholders. Answers questions and disseminates program information. Assists health professions education learners with all program-related issues and questions.
  • Delivers both administrative supervision and support to medical students. Acts as a liaison between students and educational sites when necessary.

At the direction of program faculty and leadership, creates learner assessment documentation, including assessment tools and assessment strategies/timelines. Generates regular reports of individual and aggregate learner progress and assessment.
  • Informs the Associate Director of LACE of student related issues (incomplete and/or missing assignments, professionalism problems, complaints received from sites and/or faculty, etc.).

Fosters an environment of collaboration between various health professions education specialties and programs. Participates in program and/or departmental work groups, teams, task forces and committees to support ongoing health professions education program functions.
  • Provides recommendations regarding the potential of adding new sites or changing existing sites in an effort to accommodate additional students. Will drive self to and from educational/clinical sites.

Recognize and expand existing opportunities on the current database of educational sites, recognizing the ability to secure and recognize new opportunities and maintain effective communication with clients.

Maintains program files and data, which may include individual learner files as well as program accreditation documentation in accordance with relevant regulatory and University policies.
  • Tracks, reports, and ensures compliance with procedures regarding FERPA. Maintains databases with student and faculty data, including New Innovations.

Assists with logistics and coordination for program social events and/or educational activities, which may include recruitment; orientation; graduation; conferences; and simulation and/or other assessment activities.
  • Helps plan annual activities including orientation and program-related events. Organizes meetings, prepares, and distributes materials for conferences and lectures. Develops certificates, invitations, or flyers for events/lectures.

Assists with a variety of projects to provide solutions to improve educational or administrative operations. May work with others to achieve project objectives.
  • Provides support and meets regularly with the Director of Medical Education concerning issues and activities and the status of projects. Identifies and evaluates the methods for improving workflow and cost effectiveness and makes recommendations for improvement.

Assis in all Health System Science Projects (HSSP) deadlines, workshops, submissions and deliverables. Creates/posts biweekly deliverables in questionnaire format through current system.
