Department Custom Scope
Under the general direction of the Senior Director of Auxiliary Services Facilities & Projects and other unit leadership, performs high quality and timely administrative coordination, analysis, reporting, and operational and project support for a broad range of areas that assist the Auxiliaries Facilities team in making and communicating tactical and strategic decisions based on appropriate data, facts, and best practices. Collaborates with Auxiliaries Facilities leadership/supervisors with Famis 360 to ensure program/system meets team needs; trains new staff usage; runs regular reports and follows up as needed. Assists in emergency planning processes and documentation; may also hold a role in emergency response team and departmental operations center. In conjunction with unit supervisors, creates and oversees summer turn master schedules, project timelines, work assignments and quality control mechanisms. Works with procurement to ensure clear vendor communication and appropriate scheduling. Maintains compliance of OSHA, CAL-OSHA, and Injury & Illness Prevention Plan (IIPP) reporting and record-keeping requirements. On behalf of unit, liaises with campus and external partners/vendors regarding daily, seasonal and urgent facilities needs.

Key Responsibilities

Description % Time
Gathers and assembles analytical and factual data on assigned problems and issues to prepare reports and/or analyses summarizing information on the assigned issues and commenting on other significance for internal or external constituents.
  • Conduct routine and ad hoc reporting from Famis 360, StarRez, Banner, CPMS and other campus systems. Performs analytical studies on a variety of policies, programs, and issues. Researches and summarizes industry best practices and new program technologies. Disseminates information and correspondences throughout unit and in conjunction with other Auxiliary teams. Maintains compliance of OSHA, and CAL-OSHA, and IIPP reporting and record-keeping requirements. Assists in emergency planning processes and documentation. May serve on emergency response team and part of departmental operations center (DOC).

Coordinates program planning and collaboration with program/project staff.
  • Coordinates and acts as the central point of information gathering/dissemination and communication for facilities projects between AS units, campus partners, vendors, etc. Works with the AS project team to maintain and update short/long term project lists. Creates and oversees summer turn schedules, project timelines, work assignments and quality control. Works with procurement to ensure clear vendor communication and appropriate scheduling.

  • Participates in the development and implementation of the department's mission, goals, and strategic planning; assists in the review of operations and services to identify operational efficiencies and integrate "best practices"; coordinates and/or participates in special projects and assignments, the scope of which may extend beyond day-today operations.

  • Prepares, edits, and modifies documents including research reports, workflow charts, organization charts, operations manuals, and ad-hoc reports, etc. and analyses in support of internal and external data requests and other functions and programs. Gathers data to complete forms and submit reports related to unit operations. Using appropriate research methodology, gathers and assembles analytical and factual data on assigned programs and issues to prepare reports and/or analyses summarizing information on the assigned issues and commenting on other significant issues for internal department constituents.

Using subject matter knowledge, collects and prepares information for use in discussions, meetings of internal and external constituents.
  • Collects and prepares information in the most effective presentation format that synthesizes generally complex data and issues into easy to understand formats appropriate for the target audience that varies widely from internal discussions, staff meetings, meetings of high level management and external constituents. May access sources from trade and/or professional associations in building such documents or create and conduct surveys as needed.

Provides a variety of analytical duties in support of a function, research initiative, program and/or organizational unit.
  • Provides administrative and project support to leadership; maintains calendars, coordinates meetings and associated documents; informs management team of time sensitive or high profile concerns. Represents unit with AS-wide projects, committees and work groups. Interfaces with campus departments to ensure consistency and regular communication with process and project work.

On a project basis, performs analytical studies on a variety of policies, research initiatives, programs and issues.
  • Responsible for benchmarking with other UC campuses and industry standards to inform on best practices. Assists in the creation, monitoring, and updating of internal department documents such as KPIs, customer surveys, flow charts, process maps, and procedures using standard departmental and University policies and past precedent as guidelines.
