Department Custom Scope
Reporting to the Financial and Administrative Officer (FAO) for English and Philosophy and the FAO for History, this role demands an advanced level of professional expertise in the areas of financial/budget analysis, fiscal management, contracts and grants, and administrative oversight for the English, History and Philosophy departments. Monitors and reconciles monthly, quarterly, and annual financial transaction detail ledgers. This role encompasses comprehensive administration and coordination of all fiscal operations within the departmental budgets, ensuring meticulous analysis of financial trends, accurate budget projections, and maintaining fiscal integrity and control. Reviews departmental accounting and budgetary process and procedures for departments. This role involves a critical evaluation of all expenditures and payroll transactions to ensure compliance within budget constraints, appropriateness of expenses, sufficiency of funds, and accuracy of accounts. Prepares complex budget reports and analyses for FAO, departmental chairs, and/or faculty and plays a collaborative role in the year end fiscal close process. Provides expert guidance to faculty regarding policies, procedures, and financial reporting related to contracts and grants. Involved in the strategic management and allocation of financial resources for graduate students, readers, and other academic student employees. Serving as the HR/AP Payroll Coordinator, the role demands an in-depth understanding of payroll processes for all faculty, adjuncts, staff, and student appointments, ensuring stringent compliance with internal audit requirements and University policies for all financial activities. This position is also eligible for a hybrid remote work schedule. Schedule may change depending on department needs and college/university policies. The full salary range for the Financial Analyst III is $$71,100 - $128,700 annual salary. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs. Applies professional concepts to perform moderate to complex analysis to understand past performance and determine present and future performance and/or resource allocations.
  • Develops reports and analysis for FAO regarding the utilization of departmental resources and expenditures, all within functional areas, facilitating short-and-long range departmental planning. Responsible for crafting detailed annual closing reports for the PI and funding agencies, including nuances analysis of both programmatic and financial grant data. Provides expert advice to the PI throughout the funding period and prior to the grant closing date. Provides guidance to Departmental Faculty with respect to fiscal policies and procedures, including the creation of detailed financial reports that highlight current expenditures and remaining balances. Executes complex financial analyses for projects and initiatives, ensuring accurate and insightful preparation of departmental reports.

Provides department support in the areas of business process analysis and design, system or procedure testing and implementation, documentation, security, workflow, and customer feedback.
  • Coordinate and implement HR/AP processes for various employee categories, including hiring and onboarding of temporary and student academic personnel. This includes tracking UCPath entries, and auditing payroll expenditure reports to ensure that salaries are charged to the appropriate account and employees have received accurate and proper pay. Maintains forms for corrections and transfers funds as appropriate. Provides seasoned analytical support for a range of budget, financial, or resource analysis projects, employing a deep understanding of financial concepts and organizational policies. Administers and reviews all financial plans and budgets; monitors progress and changes and keeps FAOs abreast of the departments? financial status. Assists in the financial management of departmental events, providing critical oversight and insight into budget allocations.

Coordinates and implements department budget allocations, conceives of and maintains department chart of accounts or other data management tools, and related business processes.
  • Implements and executes the allocation of the departmental budget and maintains processes related to an accurate chart of accounts. Executes detailed monthly expense reporting for each faculty fund, ensuring compliance and accuracy, and secures required PI approvals.
