Department Custom Scope
Reporting to the Assistant Recreation Director - Outdoor Excursions, the Outdoor Excursions Program Coordinator assists in the planning, operations, management, supervision and evaluation/assessment of the Outdoor Excursion programs. These areas include customer service and staff development in the Outdoor Excursions Shop, Adventure Trips/Excursions Program, Equipment Rentals, Wilderness First Aid certification, and Commercial Driver and Trailer Training. Major responsibilities include assisting in planning programs, curricula and activities for the Adventure/Trips program, teaching and mentoring student leaders in a variety of technical and outdoor skills, human interaction and educational/teaching skills, conducting trainings and leadership development workshops. Outdoor Excursions is a program of the UCR Recreation Department, and has been serving the campus and surrounding area for over 20 years. Our mission is to provide a variety of programs and services emphasizing safety, skill development, environmental awareness, and community. Participants in our programs learn leadership, personal challenge, and team building through outdoor adventures and nature experiences.

Adventure Trips/Excursions Programs Leadership: Teach and mentor student leaders in technical/outdoor, human interaction, and educational/teaching skills. Assist with and conduct Trip Leader training including day, evening, and overnight training trips, workshops, driver training (Class B and trailer training), and regular meetings. Assist with teaching Leadership Development workshops. Train staff in team building, facilitation, and debriefing. Assist with supervising Trip staff including hiring, training, scheduling, feedback, evaluations, payroll and disciplinary processes for student and part-time staff. Communicate with trip staff and provide opportunities to ensure their involvement and motivation. Help develop a strong culture based on the values of the program, department, and campus. Co-lead trips and serve as a driver (which will require a Class B license) when there is a need for a higher level of supervision or training. Maintain certification records of staff in CPR/ AED/ Wilderness First Aid and the possibility to instruct these classes. Plan, manage, and oversee the Trip Leader Driver Training program. Assist with vehicle maintenance, accident reports, and vehicle safety. Maintain staff training records. Ensure collaboration between rental equipment reservations and trip program equipment reservations. Screen medical forms, call participants about concerns and require medical professional approval when necessary. Assist in trip preparation/packing/send-off. In conjunction with Assistant Director and the department risk management staff, develop or update necessary emergency procedures, safety practices and risk management processes. Ability to maintain professional memberships in organizations and conferences (such as AORE, NIRSA, AEE, ACA, WROLC) and network with other programs to stay on the cutting edge of outdoor education and technology.

Outdoor Excursions Shop Supervision: Assist in planning, organizing and overseeing the operations of the OE Shop. Plan, develop and coordinate comprehensive and on-going staff training for OE Shop staff in equipment use and maintenance, software program for rentals and registrations, and customer service skills. Maintain, review, and approve Kronos Time Clock online system for OE Shop staff to ensure accuracy. Provide excellent customer service to customers, resolve issues and conflicts effectively, and oversee refund transactions. Develop relationships with campus departments, student organizations, and community groups to increase collaboration and program offerings and awareness. Attend conferences, trainings, workshops, and clinics to keep skills and practices current. Assist in the implementation of program strategic plans, goals, objectives and assessments. Report on results, including strategies for process improvement. Assist with special events, marketing events, speakers, clinics, etc. Maintain and make recommendations for the Resource Library. Engage in Campus Recreation, University of California and pertinent industry training and development opportunities.

Equipment Rentals: Oversee, coordinate, and perform equipment inspections, inventory, and maintenance of the OE Shop and related equipment, and maintain appropriate documentation of inventory and maintenance. Maintain and update equipment inventory and other back-end features of OE Shop software. Research and recommend purchases, perform or delegate maintenance and inventory of rental and trip equipment and first aid kit supplies. Oversee lost, stolen, late and/or damaged equipment procedures. Collaborate with department staff to ensure facility spaces and equipment are maintained as needed to meet industry standards for programmatic use. This includes implementing routine inspections, organization, cleaning, and maintenance. Plan, host, and implement used equipment sales on campus.

Promotion, Marketing & Other duties: Represent Outdoor Excursions at campus and other events to market programs and offerings, and increase customer awareness. Assist with Outdoor Excursions marketing in collaboration with the Recreation Media Staff. Update social media posts for Outdoor Excursions. Collaborate with other University Outdoor programs through attendance of conferences, meetings, and phone/email contact. All other duties as assigned.

Proficient in at least three of the following, with commitment to continued skill development: sea kayaking, snorkeling, rock climbing, surfing, paddle boarding, sandboarding, bicycle maintenance, map and compass/GPS navigation, teaching wilderness first aid, natural and cultural history. Required
Experience supervising or mentoring students, maintaining outdoor equipment, student development, and leadership training. Experience working with diverse populations/clientele. Required
Experience leading and advising students and teaching outdoor skills; ability to lead and supervise in potentially dangerous conditions, and extreme environmental conditions. Required
Familiar with risk management practices for outdoor recreation programs and facilities. Required
Experience within a customer service-oriented environment responding to and meeting/exceeding the needs of the customer. Skills in listening, anticipating, and responding to the needs of customers to achieve excellent customer service measured by outcomes rather than activities. Required
