Custom Scope
Assists in planning, organizing, and implementing events and functions, which may include symposiums, conferences, program events, banquets, and VIP briefings. May independently manage small, non-complex events.

Department Custom Scope
Under the direction of the Director of Event Management and Protocol, the Public Events Manager is responsible for the planning and implementation of university events, and assisting with the coordination and production of campus-wide public ceremonies and high-profile major events that benefit the University of California, Riverside and enhance the institution's image, reputation and attractiveness as a worthy focus of charitable giving and other forms of support.

Key Responsibilities

Description % Time
Plans, organizes and implements small events or portions of larger events such as symposiums, conferences, program events, banquets, and VIP briefings.
  • Specific responsibilities include, but are not limited to: Developing and managing overall plans of action and time lines. Coordinating event logistics including space design and décor, catering, equipment rentals, parking and security. Providing on-site event coordination. Assisting in design and content development of invitations, programs, promotional materials and other event collateral. Coordinating faculty participation at Commencement and Convocation.

Scouts potential locations and/or vendors for future events.

Participates in planning, organizing and staffing larger or more complex events, including being assigned responsibility for a specific event segment such as parking/transportation, catering, et cetera.
  • Assisting with the planning and production of public ceremonies and high-profile special events including Commencement, New Student Convocation, Chancellor¿s Dinner, inaugurations, groundbreaking ceremonies and building dedications. Assisting in the development of marketing and communications plans, event web pages and online reservation pages. Developing event staffing plans, including recruiting, training and supervising staff and volunteers working at events.

Assisting in the development of event budgets and monitoring expenditures. Providing back-up assistance to the reception function as needed. Performing other duties as assigned by the Assistant Vice Chancellor for Alumni & Constituent Relations and the Director of Event Management and Protocol.

Working knowledge of concepts, principles and practices of event planning and production and public relations. Required
Working knowledge of the campus, its programs, policies, mission, goals, objectives, achievements and infrastructure. Preferred
Working organizational skills, including skill in effectively coordinating and organizing multiple details. Excellent organizational abilities appropriate to effective calendar management and student and/or volunteer scheduling. Required

Knowledge of the various aspects of event logistics including facilities and space design, catering, décor, sound and multimedia, lighting and parking. Required
Skill and ability to organize, plan and implement special events in diverse settings for varied audiences with various purposes. Required
Experience with microcomputer applications such as e-mail, word processing, spreadsheet applications and alumni/donor databases. Required
Experience using Microsoft Office and Raiser's Edge constituent database. Preferred
