Department Custom Scope
The UCR School of Medicine, the first public medical school in California in more than 40 years, is committed to training a diverse physician workforce for Inland Southern California region and to developing research and health care delivery innovations that improve the health of medically under-served populations This position oversees most functional areas of the Office of Student Affairs and develops and implements new student programs and events. The incumbent works independently to prioritize assignments and strategies in order to achieve the mission of the School of Medicine under direct supervision by the Senior Associate Dean of Student Affairs and Associate Dean of Student Affairs. This position is primarily responsible for the operation and management of the Student Affairs Office in the School of Medicine. This includes the administrative oversight of medical school admissions, student advising, medical student records, academic enrichment programs, student programming, medical student affiliate compliance relations, as well as the recruiting, hiring and training of Student Affairs unit personnel. The incumbent will partner with the Director of Financial Aid and Director of Student Counseling and Academic Support to ensure full support for all medical students. Additionally, the incumbent oversees the fiscal and personnel management of the Student Affairs Office and advises the Senior Associate Dean and Associate Dean regarding policies, protocols, and procedures.

Provides general direction and work assignments to professional and support staff and annually evaluate the performance of each staff member. Provides pertinent information to staff to enable them to function in their respective positions. Supervises the specific duties and responsibilities of Student Affairs Officers (SAOs) who are responsible for the daily admission, registrar, academic enrichment and all other student support services for medical students. Establishes performance standards. Prepares and meets with employees on a regular basis to conduct evaluations based on established norms and expectations. In conjunction with the Dean, schedules and attends team meetings within the SAO unit. Oversees work flow and resolution of problems as needed. Trains and provides resources to employees for career development. Makes decisions on performance, salary actions, hiring decisions and other human resources related issues of managed staff.

Responsible for the supervision of expenditures and budget oversight for the Student Affairs Unit including Financial Aid Office, Academic Enrichment and Outreach, Admissions and the main administrative office of Student Affairs. Supervises the analysis, projection and preparation of annual budgets for Dean's presentation for the entire unit. Analyzes staffing needs for the unit and advises the Dean of issues regarding hiring and staffing. Coordinates program logistics and evaluate program cost-effectiveness and financial resources. Manages program/event budgets, ensures that optimal and timely use of funds are consistent with event goals and make required budgetary changes or adjustments. Collaborates with the Director of Financial Aid and Dean to ensure that appropriate financial aid counseling is provided to all medical students to determine their annual financial need assessments and to coordinate the awards and disbursements. In conjunction with the SOM Financial Operations Manager, identifies the appropriate expenditures for use of these particular funds. Manages payment process for medical student tutoring program. In conjunction with the Director of Student Counseling and Academic Support and the Director of Financial Aid for the SOM, implements compensation procedures to pay student tutors.

In collaboration with the Deans of Student Affairs, develops, plans, implements, and coordinates a comprehensive set of social, cultural, and educational student programs that foster student wellness and success. Oversees the annual needs assessment regarding SOM student programming and makes recommendations to Deans and program staff regarding new program development. Researches academic enrichment programs appropriate for SOM's student population that can be integrated into the existing SOM academic enrichment programs and technology platform. Directs and manages the School of Medicine's Summer Externship Program. Works directly with physicians and administrators and various medical facilities to establish clinical rotations and research opportunities for medical students between the first and second year of medical school. Designs application and promotional materials for the summer positions and coordinate the student and sponsor assignments. Ensures that the requirement for each sponsored externship position is in compliance with the sponsoring institution and UCR. Supervises attendance, student performance and quality of position experience. Manages the development and utilization of event/programming evaluation mechanisms and develop recruitment event key performance indicators to refine event programming and processes from year to year. Develops and maintains liaison with campus, local, state and national educational institutions and agencies to develop a network of resources for program participants and medical school applicants. Maintains a global presence and represent the School of Medicine at AAMC conferences and workshops. Serves as staff advisor to student groups and attend Student Affairs selected functions and SOM Pipeline Program activities. Researches academic, professional societies appropriate for student membership and recognition.

Responsible for the fundamental management of all Student Affairs Office functional areas. Provides leadership and direction to student affairs staff, including career consultation and training opportunities. Manages the operations of student program activities on a day-to-day basis. Serves as a Student Affairs Ambassador. Independently, through research, reasoning and communication, anticipates potential problems in all areas affecting the administrative operations of the SAO Unit. Exercises initiative in solving complex issues and proposing proactive solutions to potential problems. Maintains primary oversight of student records and Registrar Office in the School of Medicine. Oversees the licensure and verification process of all graduates of the UCR School of Medicine. Ensures maintenance of policies and procedures regarding the handling of student grades, evaluations, files, and transcripts, defending student's rights pursuant to the Family Education Rights and Privacy Act of 1974 (FERPA). Provides policy information and advice to Dean and faculty. Responsible for the development, coordination and implementation of all annual School of Medicine Student Affairs events and activities to ensure that commitments, goals and deadlines are met by staff and by students.
