Applies professional UC Academic HR concepts, organization and/or system wide policies and procedures to provide guidance to supervisors and managers to resolve a variety of academic human resources issues of moderate scope and complexity.

Department Custom Scope
Under the general direction of the Director of Academic Affairs in the School of Medicine, this position will provide administrative and analytical support on academic personnel matters in the School of Medicine. Provide analysis, implementation, evaluation and recommendation of new and existing system wide and local policies, procedures and guidelines for a health science school. Provide coordination of academic recruitment, appointment, and advancement of academic employees. Analyze proposed academic actions to determine potential problems or complications. Serve as a resource to the School's academic leadership, faculty and non-faculty academic appointees. Serve as back up support in all areas to the other Academic Personnel Analysts in the Academic Affairs unit in the School of Medicine.

Key Responsibilities

Description % Time
Under general supervision provides advice and guidance on documented faculty or other academic staff compensation programs, academic personnel policies and procedures.
  • In addition to corresponding policies and procedures for academic personnel this position will also reference the SOM Health Sciences Compensation Plan guidelines.

Determines and assembles materials for academic review cases.
  • Generate eligibility lists, advising faculty on file/dossier preparation, solicitation of intra- and extramural evaluations, maintenance of database and other academic personnel files (recruitments, appointments, merits, appraisals, promotions, 5th year review, terminations), policy interpretation, dissemination of files, and staffing academic review committee. Prepare approval documentation for Dean or designee signature on academic personnel actions for which the Dean has authority.

Supports faculty search committees.
  • Conducts preliminary reviews and edits advertisements to ensure compliance with basic requirements. Submits to academic affairs senior analyst for final approval and then complete transactional details to have the ad placed in requested venues. Upload documentation into the system. Ensures that search committee membership for non-senate positions are established in accordance with academic personnel procedures.

Under guidance from manager counsels faculty and other academic staff concerning work-related problems, work-eligibility (visa) matters such as J-1 processing, and benefits considerations.

Assesses and summarizes data and comments from teaching evaluations.

Implements policies and programs in recruiting, instructional labor relations, wage and salary administration, and training.
