Custom Scope
Develops and/or oversees research proposals, awards and/or transactions related to contract and grant management and maintains contract and grant records in compliance with institutional and research sponsor policies. Follows institutional procedures and practices when analyzing or reviewing financial information or reports.

Department Custom Scope
Provides contract and grant support for a complement of SOM units (Dean's Office, Division of Biomedical Sciences, Division of Clinical Sciences, Center for Healthy Communities, Student Affairs, Undergraduate Medical Education and Graduate Medical Education), as well as collegial collaborators, external business partners and community-based organizations. Performs analytical and administrative services to a portfolio of academic and clinical research, training, and programmatic sponsored activities. Responsible for the preparation, review, and analysis of proposals of limited scope and complexity, inclusive of generating fiscal reports for the purpose of developing program/project budgets. Maintains knowledge of current sponsor policies, government regulations, University of California protocol and procedures, and award terms and conditions.

Key Responsibilities

Dept Role (DR): Under supervision, administers and/or develops grant proposals, applications and support documents in conjunction with PI.
  • Assists with coordinating and preparing extramural contract and grant proposals of limited scope and complexity inclusive of budget development and preparation of budget justifications, completion of forms within Grants.gov and Cayuse applications as well as upload required components, facilitates collection of letters of support from internal and external partners, and provision of editing services as requested.

(DR): Under direct supervision, provides post-award financial administration and management for research funds. Assists in preparation of routine proposal budgets and support documents that are required by proposal guidelines.
  • Assists in the drafting, compilation and submission of progress and final reports; responds to requests for additional data by determining and locating sources for collection of information and data, analyzing outcomes and providing information in a clear and concise manner.

(DR): Analyzes expenses, develops cost projections, and assists with financial tracking and control.
  • Assists with establishing and monitoring fiscal budget control of extramurally funded awards in accordance with agency requirements and University policy. Generates fiscal reports, performs monthly analysis of expenditures associated with agreements administered by the unit, and investigates and reconcile errors identified.

(DR): Interprets regulations and guidelines and prepares periodic reports.
  • Assists with reviewing and applying agency-specific guidelines, University of California policies and procedures, applicable federal policies, and applicable mandates for developing budgets and monitoring fiscal activities of extramural funding mechanisms such as grants, contracts, gifts, and private sponsorships.

Central Role (CR): Under direct supervision, supports other analysts in negotiation of terms and conditions of research agreements and awards from various sponsors.

(CR): Processes research proposals, awards and transactions related to contract and grant management and maintains contract and grant records in compliance with institutional and research sponsor policies.

(CR): Under direct supervision, administratively reviews grant or contract proposals and budgets, obtains/verifies necessary compliance approvals, and recommends/negotiates needed changes to proposals with PIs and/or department administrators.

Provides ad hoc analytical research and reporting to the Director. Determine the most appropriate data for the purpose at hand, the optimum presentation format, and clearly define the elements and explain the methodology and sources used in deriving the data provided. Maintains repositories of information in support of proposal preparation and submission, including faculty/staff biographical sketches, current and pending support, facilities and other resources, equipment, project profiles, etc. Maintain records and collect tangible evidence of all grant activity as applicable for reporting.

Support overall objectives of the School of Medicine's Division of Research, including but not limited to assisting in the preparation of public presentations for executive leadership, composing correspondence and online content, researching campus and UC system-wide policy, and editing and proofreading documents. Complete special projects of moderate complexity as assigned by the unit Director.

Knowledge of major policies and procedures related to sponsored awards and regulatory compliance (e.g. OMB A-21, A-110, A-133). Preferred
Proficiency in creating and editing spreadsheets and reports using Word, Excel, or other software applications; skill in exporting/importing data from or to different software applications for data collection and retrieval. Required
