Applies acquired skills and clinical and operational knowledge of ambulatory care clinics to coordinate aspects of clinic operations of intermediate scope and complexity. Monitors daily clerical activities, billing, and other operational services for a clinic in the medical center.

Department Custom Scope
The Hospitalist Coordinator for the UCR Health clinical practice operation in the desert (greater Palm Springs area) is responsible for supporting the administrative and operational needs of the UCR School of Medicine faculty/physician practices. The incumbent must have the ability to perform and prioritize multiple tasks and work well with internal and external resources. This position is responsible for coordinating all aspects of the hospitalist program, which may include activity at more than one hospital. This will include coordinating the call schedule for UCR Health as well as with UCR's associated hospital groups, ensuring all information is collected to support the billing function, mange all communication and correspondence on behalf of the program, medical staff credentialing at the facilities and/or with any third party payors, record keeping and other operational support to ensure the program runs smoothly and efficiently. Position also includes support to other area clinical practice locations in the greater Palm Springs area. Maintains up-to-date data for each provider to ensure timely renewal of licenses, certifications and credentials. Please note: Job requires local travel between practice locations in the Palm Springs/Indio area as well as to the UCR School of Medicine in Riverside for training and other business related purposes.

Key Responsibilities

Description % Time
Coordinates daily clinic activities and monitors workflow of administrative services including patient registration and authorization, referral coordination, medical records storage and maintenance. Oversees staff performance ensuring compliance with policies and regulations.
  • Maintain/communicate provider schedules/assignments; review, triage and respond to all communication and requests related to the hospitalist service. Coordinates and fulfills all requests for medical records/operative reports on behalf of UCR Health.

Troubleshoots day-to-day administrative and IT issues. Handles escalated issues seeking clinical input when appropriate.
  • Assists hospitalists with completion and submission of any required documentation, timesheets or other activity.

Maintains patient accounts, interacts with collection agencies , and negotiates patient payment plans. Serves as liaison with billing office
  • Completes daily reconciliation (paper/electronic) to ensure billing data is submitted timely with all required information; manages requests for completion of missing billing data.

Monitors daily clinical reporting, communicates results to provide accurate and timely patient care coordination
  • Compile/update a database of community physicians to facilitate communication between providers and community physicians. Ensure faxes/efaxes are sent out to all community primary care physicians regarding patient status.

Conducts chart reviews and reports discrepancies. Updates diagnosis and procedure codes to support clinical documentation and maximize reimbursement

Coordinates conferences, compiles attendee conference notes and clinical recommendations and disseminates information

Credentialing: Compiles and maintains current and accurate data for all providers; completes provider credentialing and credentialing applications; monitors applications and follows-up as needed. Maintains copies of current state licenses, certificates, malpractice coverage and any other required credentialing documents for all providers. Requests certificates of insurance. Sets up and maintains provider information in online credentialing databases and system; tracks license and certification expirations for all providers to ensure timely renewals. As directed, ensures practice addresses are current with health plans, agencies and other entities; audits health plan directories for current and accurate provider information. Processes applications for appointment and reappointment of privileges; ensures providers are credentialed, appointed, and privileged with health plans, hospitals and patient care facilities. Maintains confidentiality of provider information; provides credentialing and privileging verifications.

Knowledge, Skills & Abilities

Knowledge/Skill/Ability Requirement
Familiarity of clinic medical billing practices including coding, billing systems and documentation requirements. Knowledge of ambulatory care clinic practice management including patient care workflows and processes. Demonstrated understanding of medical terminology and clinical knowledge of clinic practice area. Preferred
