Department Custom Scope
The Project Coordinator for the Division of Biomedical Sciences in the School of Medicine (SOM) provides executive level programmatic and analytical support on a wide range of issues, projects, programs and on matters of importance to the School of Medicine. Incumbent provides support to the Division of Biomedical research centers: Center for Glial-Neuronal Interactions (CGNI) and Center for Molecular & Translational Medicine (MolMed). Represents the SOM in a professional manner, exercising mature judgement, tact, diplomacy, and the utmost discretion. Responsible for planning, organizing and implementing events and functions including symposiums, conferences, and recruitments; and independently manages small to large complex events for the division. Initiates policies and procedures within the office to achieve maximum efficient.

Key Responsibilities

Administers a defined operational program or activities which may include some of the following functions: finance, facilities, payroll, space planning, student services, human resources, communications, informational technology or safety.
  • Provides support for Biomedical Sciences faculty searches and guest speakers, including attending search committee meetings, coordinating all interviews/campus visits, preparing and distributing itineraries and recruitment documents and coordinating all logistics (travel, hotel, meals, IT/audio visual needs, etc.), ensuring compliance with University policies and procedures. Posts jobs on appropriate websites and coordinates payments.

Gathers and analyzes financial and other resource data; prepares reports or analyses of operational activities, evaluates current and proposed services, etc.

Functions as a resource on issues such as researching complex financial discrepancies, escalated customer service problems and vendor concerns.
  • Represents Biomedical Sciences division as a point of contact for on campus and off campus visitors, including administrators, faculty and staff, as well as prominent members of the business community, requiring a thorough understanding of the School of Medicine and its function and philosophy.

Assesses and recommends changes to maintain compliance with federal and state requirements and internal policies.

Provides critical policy analysis and technical support to search committees regarding University policies and procedures. Interacts regularly with candidates and guest speakers as the contact person for travel arrangements, reimbursements, policy inquiries, etc. Coordinates reimbursements for candidate/guest speaker expenses with SOM Business Operations.

Serves as a major leader and communicator on behalf of and for the Division faculty: Represents the Division in constant interactions and communications with SOM, other campus departments, and external community members. Sends out monthly announcements to faculty. Notifies faculty of school wide events and guest speakers. Sends out announcements to SOM faculty and students on behalf of other campus departments. Coordinates weekly seminar announcements in collaboration with the Dean's Office. Helps direct faculty to appropriate personnel depending on needs and issues. Compiles and keeps an updated inventory of contacts within the Division, SOM, and with other campus units. Helps facilitate communication between faculty/staff and the Division Lab Manager. Defines and helps match expectations with other units. Coordinates with Strategic Communications and IT for various announcements, communications, and listservs.

Provides guidance and assistance in the supervision of student assistants and volunteers.
