Department Custom Scope
Under the supervision of the Administrative Operations Manager, provides administrative operational support to the Associate Dean for Academic Affairs, Director, Academic Affairs, Director, Faculty Development Program and assists with all aspects of the Faculty Development Program. Incumbent will provide administrative support to special projects, perform special assignments, and work on assignments that are complex in nature where considerable judgment and initiative is needed in resolving problems and making recommendations. Serve as a resource to the School's academic leadership, faculty and non-faculty academic appointees.

Key Responsibilities

Description % Time
Administers a defined operational program or activities which may include some of the following functions: finance, facilities, payroll, space planning, student services, human resources, communications, informational technology or safety.
  • Primary activities will be in the functional areas of Academic Affairs and the Faculty Development Program: Assists with the planning, development and implementation of faculty development trainings, workshops, events, conferences designed to improve teaching and learning. Assists with organizing outside speaker visits relevant to faculty development programming; responds to and/or coordinates requests from faculty, administrative and/or faculty leaders.

Gathers and analyzes financial and other resource data; prepares reports or analyses of operational activities, evaluates current and proposed services, etc.
  • Provides analytical and project management support to the Associate Dean for Academic Affairs, Director, Academic Affairs, Director, Faculty Development Program and executive staff in the Dean's office (as requested). Interacts extensively with senior staff to gather needed data and information; analyzes a wide range of complex issues/requests, and resolves or makes recommendations for resolution; and follows up to ensure issues are resolved appropriately

Develops and maintains budgets.
  • Develops and manages budgets for events, trainings, workshops, conferences, and other faculty development related activities.

Schedule meetings with chairs of programs, associate deans, senior associate deans, and others as requested. Coordinates calendars, makes scheduling decisions, and screens incoming mail. Synthesizes, reviews information, tracks action items, and briefs leaders in advance of meetings, conferences and travel. Ensures all logistics are taken care of relating to travel and events. Staffs various recurring and ad hoc committee meetings and/or task forces, as needed.

Drafts letters and other forms of written communications on behalf of the Associate Dean, Academic Affairs, Director, Academic Affairs, and Director, Faculty Development Program.
