Position is expected to raise gift dollar amounts as established at each specialization.

Department Custom Scope
Reporting directly to the sr. director for gift planning and working closely with the director of gift planning, the development coordinator for gift planning occupies a crucial role in the gift planning team by directly supporting frontline fundraising activity through the development and implementation of a comprehensive social marketing, communications, and donor relations plan and through the provision of critical infrastructural aid to the program. These functions set the stage for frontline fundraising activity by ensuring data integrity, discovering new prospect leads, serving our donors through gift planning education, initiating and/or maintaining a personalized connection with donors through creative and regular mass communication, and stewarding current legacy society donors through exclusive society communications, society branded gifts, personalized attention and other donor relations efforts. The Development Coordinator will support the development office by overseeing day to day operations including; managing timelines and calendars, providing administrative support to the office, providing telephone and office coverage, managing incoming and outgoing correspondence and other development business processes.

Key Responsibilities

Implements established components for fundraising and alumni relations programs and activities; plans, administers, and implements a well-defined or established fundraising program requiring the exercise of limited discretion and judgment
  • Assists gift planning directors to develop and implement a custom gift planning marketing program that includes direct mail, e-blasts, e-newsletters, a website, workshops/webinars, and print/social media advertisements. Assists gift planning directors and donor relations team in the development and execution of a custom, comprehensive and creative legacy society stewardship plan that focuses on donor-student interaction and impact storytelling.

Develops and maintains reports on program activities and results, providing information on program trends and learning to provide basic analysis of data.
  • Under the guidance of the directors, conducts regular audits of gift planning and legacy society data, ensuring that donor digital and paper records are updated and accurate. Works with Constituent Research and Development to pull regular productivity reports and helps to refine predictive modeling. Assists directors in the creation and collection of program documentation, flowcharts, and checklists. Records, reports and analyzes marketing data metrics and makes strategic recommendations to gift planning directors to reform program as needed to meet goals.

Drafts informational and marketing materials for review of assigned programs.
  • With some direction, initiates and manages all marketing projects from design to drop. Collaborates with the gift planning marketing vendor, Crescendo Interactive, and UCR Communications to design or modify the vendor's design of pre-existing marketing templates. Proactively maintains gift planning website including branding, design and copy updates. Partners with other development staff (unit development coordinators and annual giving) for targeted and/or combined marketing and other gift planning initiatives. Coordinates with UCR Communications and gift planning directors to copy-write and/or copy-edit all marketing pieces as the need to create a uniform voice that reflects UCR brand. Works with gift planning directors and donor relations to develop ongoing creative donor acknowledgment initiatives that maintain and strengthen donor connection to UCR. Efforts may include gifts, small special events/donor meetings, and regular mass communications, etc.

Provides administrative support by managing schedules, calls, emails, and travel for directors and the gift planning program. Coordinates and communicates with donors and key gift planning partners. Records budget expenditures and completes expense reports, purchase orders, quotes, etc. Provides timely service to donor and development officer requests and inquiries. Creates and maintains a comprehensive filing system for legacy donors and manages document flow and gift agreement process.

Interacts with contributors to UC Riverside and assists in facilitating donor visits.

Assists in the organizing and implementation of special events. Handles special projects/assignment involving direct interaction with alumni volunteers and donors.

Proactively researches and becomes familiar with higher education fundraising, gift planning and its vehicles, social marketing trends, donor stewardship best practices, and other topics as assigned by gift planning directors and attends conferences, webinars and seminars as assigned by the directors.
