Department Custom Scope
As Administrative Officer and Project Coordinator to the School of Medicine Controller, Human Resources Director, Financial and Analytics Senior Lead and other Finance and Administrative leadership, and when needed other high-level management and staff in the Dean's Office, provides administrative operations coordination and project management support. Provides executive level programmatic and administrative support on a wide range of issues, projects, programs, and on matters of importance to the School of Medicine. Represent the SOM in a professional manner, exercising sound judgment, tact, and the utmost discretion. Have thorough understanding of the priorities and expectations of senior leadership and take these into account in coordinating schedules. Manage calendars, assuring the designated principals are fully briefed and have all relevant background materials for each engagement. Manage all aspects of the designated principal's business. Strategize and advise in university communications, meetings/travel schedules, campus and community events, etc. regarding the principal's role as it applies to each situation. Staff relevant SOM committees and work-groups: develop and distribute agendas, attend meetings, record highlights, track action items and initiate follow-up as necessary. Maintain electronic and hard copy filing systems for easy retrieval. Initiate policies and procedures within the office to achieve maximum efficiency.

Key Responsibilities

Administers a defined operational program or activities which may include some of the following functions: finance, facilities, payroll, space planning, student services, human resources, communications, informational technology or safety.
  • Provides analytical, administrative and project coordination to designated principals and their units which include: business operation, purchasing, financial reporting, and human resources/payroll. Manages the workflow and communications process in support of designated principals by communicating urgency and priority related to time sensitive issues/materials that require the principals review/input/action, exercising judgment and independence regarding written or oral requests for the principals time/consultation, and independently handling issues that do not require direct involvement.

Gathers and analyzes financial and other resource data; prepares reports or analyses of operational activities, evaluates current and proposed services, etc.
  • Utilizes various UCR enterprise systems to coordinate business operations. Utilizes on-line systems and procedures to ensure timely reimbursement processing as needed.

Functions as a resource on issues such as researching complex financial discrepancies, escalated customer service problems and vendor concerns.
  • Interacts extensively with senior staff to gather needed data and information, analyzes a wide range of complex issues and requests, provides sound recommendations, takes action to resolve problems, and follows-up to ensure issues are resolved appropriately. Provides briefings on problems of significance and urgency and offers suggestions on possible options or responses.

Retains ultimate responsibility for managing calendars of designated principals, making scheduling decisions in accordance with the SOM's priorities. Maintains calendars, which consist of extensive coordination for setting appointments and venues in accordance with urgency or subject, travel, schedule and priority commitment. Synthesizes and reviews information and briefs designated individuals in advance of meetings, conferences, and travel, allowing sufficient time for review and assessment. As needed, schedules briefings with other knowledgeable individuals prior to each relevant event Ensures all logistics are taken care of relating to travel and events attended by the designated individuals. Coordinates scheduling and logistics of meetings with senior leadership (including the Dean, Sr. Associate Deans, Faculty, Directors and Office of The President staff) and external constituents and affiliates.

Staffs regularly scheduled and ad hoc committee meetings and board meetings chaired by the designated principals. Develops meeting agendas with consideration of current issues and in consultation with the designated principals. Finalizes and distributes agendas to members of regular meetings.Coordinates necessary arrangements for presentations and special items. Summarizes meeting highlights and tracks action items/responsible party. Maintains list of issues/actions for future agendas. Distributes handouts to those unable to attend. Supports the designated principals in their committee service by managing details, providing analytical support as needed and maintaining records and files. Develops close working relationships with staff from professional organizations, and other pertinent entities with which the SOM is associated.
