Department Custom Scope
Under the general supervision of the Senior Associate Dean of Student Affairs, the Chair of the Division of Biomedical Sciences and the Director of Student Affairs, this position is responsible for performing advanced professional assignments involving a wide range of student services for the School of Medicine. The primary areas of responsibility include: outreach, recruitment, admissions, advising, program development and management of the Biomedical Sciences graduate program within the School of Medicine; the services offered by this area are essential to the SOM core teaching and learning mission.

Key Responsibilities

Description % Time
Applies professional Student Services concepts in providing a variety of student services to the student population served by the organization, and to faculty and management within that organization.
  • Serve as a recognized resource of program knowledge. Review, develop and implement new procedures and guidelines for handling program processes within the unit, as well as the proper procedure for handling exceptions. Consult with faculty committee and prepare memos for changes to the Biomedical Sciences graduate program of study. Perform needs assessments. Evaluate the effectiveness of the program and recommend changes. Maintain graduate student academic files.

Academic Advising: Provides advice and assistance to students on academic and degree progress and major requirements; assists students in determining a major, alternative academic options, resolve scheduling conflicts, and similar issues.
  • Advise on University, campus and departmental requirements, policies and procedures and course requirements for degree completion. Ascertain and communicate use of transferred units in meeting college/major requirements. Confirm that students meet requirements for degree completion. Identify students with GPA progress problems and recommend action. Advise students on academic progress issues. Evaluate and advise students requesting exceptions to departmental and/or Grad Division requirements.

Recruitment and Admissions: Implements outreach programs with specifically targeted institutions; advises prospective applicants on necessary academic preparation; appropriateness of program as it pertains to the prospective applicant's goals; reviews domestic transcripts for degree eligibility; initiates and arranges student recruitment visits.
  • Develop recruitment materials (i.e., newsletters, announcements, event calendars, posters, etc.). Represent the SOM at outreach visits to communicate information regarding admission requirements, curricular and academic programs, housing and fellowships. Design and develop outreach programs and perform needs assessments. Analyze trends in student recruitment and retention programs; design and implement recruitment programs. Coordinate campus visits for prospective graduate students.

Financial Aid: Participates in the processing, evaluation, and awarding of student fellowships, grants, and other awards; advises students on financial aid options.
  • Analyze complex student financial aid packages from a variety of funding sources. Ensure that changes to student financial packages are sustainable given Department and Program resources.

Student Conduct: Provides information to students and faculty regarding organization policies and procedures on student conduct.
  • Independently develop and maintain program's Biomedical Sciences Graduate Student Handbook. Assure that the handbook sets the requirements for the Ph.D. program and provides information and guidelines to assist students in meeting the requirements for their degree program.

Events: Coordinates and implements non-complex student events and assists in the planning and implementation of complex events.
  • Collaborate on coordinating graduate student social/cultural/leadership events with the SOM.

Serve as a liaison with other departments in the resolution of day-to-day administrative and operational issues. Coordinate the quarterly teaching assistant meetings with the various Graduate Advisors for Enrolled Students. Schedule and attend Graduate Advisory/Admissions Committee meetings. Attend various teaching committee meetings.

Career Counseling: Advises department/college/school students on resume preparation and interviewing.
  • Monitor student program and prepare required documents for Written Examinations, Advancement to Candidacy and Dissertation Defenses. Ensure that dissertations and/or these collections are complete and make them accessible to the review team.

Correspond with applicants, interpret admission policies and regulations. Advise applicants regarding completeness and status of their application. Screen applications by assessing the overall record, including GPA, recommendation letters, publications, etc. Identify strong and weak applicants. Evaluate International Transcripts and translate to 4.0 GPA U.S. System. Compose petitions for admission exceptions to eligibility requirements. Develop systems to ensure consistent and reliable means by which applicant files are circulated for review. Recommend applicants to the department admissions committee, using qualitative analysis of the cases, knowledge of department areas of emphasis and faculty specialties and interests, and past decisions. Recommend applicants for available fellowships. Maintain accurate records.

Initiate program financial support planning and review financial support packages and fellowships for compliance with campus, state and federal guidelines. Maintain records concerning the program operating budget. Ensure that optimal and timely use of funds are consistent with project goals and pertinent regulations, as well as monitoring that spending is in line with the budget.

Independently design, maintain and update databases and spreadsheets. Prepare reports in a variety of program related areas. Provide statistical data, placement data, program descriptions, procedural statements, etc. to program Chairs, SOM leadership and others as needed.

Review the preparation of the campus General Catalog. Perform enrollment management duties for classes scheduled. Review and certify classes through the Course and Instruction Reporting System.
