Custom Scope
For a senior manager (i.e. direct report to a direct report to the President, Chancellor or Health System CEO), ensures administrative processes and office operations run smoothly in the executive's office. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.

Department Custom Scope
The Special Assistant to the Athletics Director provides executive level coordination and support to the Athletics Director and Senior Leadership of the UC Riverside Athletics office, providing high level programmatic and administrative support on a wide range of issues, projects, programs, and on matters of importance to Athletics. Represents Athletics in a professional manner, exercising sound judgement, tact, and the utmost discretion. Manages calendars, assuring the designated individuals are scheduled appropriately, fully briefed and have relevant background materials for each engagement and meeting. Incumbent will also be responsible for travel arrangements, processing purchase and travel request, reimbursements and other routine accounting transactions utilizing on-line financial systems. Assists with planning and execution of special projects assigned. Must be available to work nights, weekends and holidays, as needed.

Key Responsibilities

Description % Time
Oversees and ensures the daily administrative operations run smoothly for the executive's office.
  • Serves as executive level support to the Athletics Director (AD) and the two Senior Associate Athletics Directors. Coordinates daily and long-range activities. Maintains a complex calendar of appointments, conferences, and travel, coordinating all details including financial transactions. Identifies information needed by the Sr. Leadership, interacts with staff across campus to gather the information, and resolve problems or identify solutions. Serves as a resource to Sr. Leadership in assembling, synthesizing, and summarizing issues for background materials. Coordinates preparation of relevant appointment briefing and background materials and ensure the materials are provided in a timely manner for review. Makes informed and necessary decisions for the coordination of meetings, conferences, retreats and events that involve the Chancellor, EVC/Provost, Vice Chancellors, faculty, senior UC administrators, campus staff and faculty, external community guests, associates and constituents. Exercises judgment regarding written or oral requests for the Sr. Leadership's time/consultation. Independently handles issues that do not require direct AD involvement. Performs analysis of complex, confidential and sensitive issues that support the professional objectives and activities of Development. Trouble-shoots assignments and performs necessary background work and research to respond to concerns of internal and external clientele. Apprises Sr. Leadership of time sensitive issues/materials as they occur/are received. Prioritizes and brief Sr. Leadership regarding action items that require review/input/action.

Work with Office of Advancement, Development and community offices to manage databases containing mailing lists and contact information (donors, season tickets, campus leaders, community leaders, Athletics Association)

Research, prepare, edit confidential presentation from NCAA database; analyze data and documents for accuracy critical to NCAA and Big West Conference requirements

Provide assistance for staff searches, as needed.
