Department Custom Scope
The University of California Riverside Natural Reserve System (UCR NRS) administers 6 of 39 reserves within the University of California Natural Reserve System (NRS). In addition there are three satellite reserves under UCR's purview. As a Campus Administrative Director for the Natural Reserves, the incumbent will work on-campus to provide essential administrative & logistical support to site staff & their operations. The incumbent will be responsible for supporting and facilitating programmatic activities for UCR NRS with joint responsibility for most administrative, budgetary and development activities. Working within an administrative unit and reporting to UCR's Campus Faculty Director the incumbent works to support personnel of the UCR NRS in a variety of ways to include grant writing to bolster research, teaching and outreach, fund raising to increase NRS philanthropy and donorship, strategic planning in support of consensus related to long-range goals for UCR NRS and implementing programmatic initiatives, both directly and in a supporting role, to increase visibility of UCR NRS sites. A key component of this role is responsibility for administrative oversight to the UCR NRS Advisory Committee. In addition to working closely with committee members & Faculty Director, the incumbent also interacts with a broad audience of stakeholders to include UC NRS Systemwide office, all staff of the UCR NRS, the College of Natural and Agricultural Sciences (CNAS) Dean, the Financial & Administrative Officer within the administrative unit and campus affiliates providing services to UCR NRS. The incumbent will also engage external stakeholders to include government & private agencies, academic bodies and other sectors as appropriate.

Key Responsibilities

Description % Time
Manages, plans and administers a range of administrative operations in a small to medium academic department, or a small to medium non-academic department or program.
  • Facilitate operations in support of the UCR NRS mission. In conjunction with the Faculty Director and Reserve Directors, develop and implement short and long-range strategic and management plans. Assist Directors/UCR NRS/UC NRS Systemwide with land exchanges and new purchases of land for Reserves. When needed, act as a resource for interactions between agencies such as National Park Service, US Forest Service, Bureau of Land Management , etc., for regulatory needs. Also interact with non-profit agency, such as Nature Conservancy.

Administrative operations include budgetary financial management and human resources and may include some of the following functions: IT, facilities, student services, and/or contracts and grants.
  • In conjunction with the Faculty Director and Financial & Administrative Officer (FAO) of the unit, assist in maintaining the campus UCR NRS operational budget. Using knowledge of UC and UCR policies, procedures and regulations, apply best financial and management practices for UCR NRS objectives and goals. Assist the Faculty Director with employee training compliance and other human resource matters as necessary.

Develops and prepares budgets and financial reports for funding which may be complex.
  • Establish and monitor a small discretionary budget for the UCR NRS. Prepare financial reports related to both operations and capital expenditures. Monitor progress & work to reduce time to completion. Ensure Faculty Director, Unit FAO and College Dean's Office are apprised of financial position and risks.

Provides input into non-technical portions of grant and contract proposals.
  • Monitor grant opportunities relevant to the UCR NRS mission. Develops proposals in partnership with participating faculty collaborators and reserve directors to increase extramural support for the UCR NRS.

May supervise a small staff of support employees and/or students.

Performs studies for resource plans, including approaches, trends, sources and uses.
  • Establish an understanding of resources used to support operations at reserve sites, evaluate needs, assist in best procurement practices for remote locations, and monitor expenditures along with reserve directors. Plan for seasonal requirements and needs to bolster special events at reserves.

Serves on committees, representing department/unit.
  • Plan and coordinate the UCR NRS Advisory Committee meetings including scheduling, taking minutes, maintaining committee records and bringing follow-up items to completion. Work with committee members and external stakeholders to establish upcoming agendas. Prepare supporting materials in advance.

Assists in the design and drafting of organizational website content; drafts newsletters and correspondence to organizational constituents.
  • Design and maintain a social media presence for the UCR NRS (ie Facebook/Instagram and Twitter)

Administers facilities and space logistics and manages equipment needs.
  • Monitor NRS capital projects with on-campus constituents including Planning, Design and Construction and unit Financial & Administrative Officer. Define roadblocks in the process and facilitate regular and timely communication between campus units, Faculty Director and CNAS Dean as needed. Travel to each reserve to help facilitate director needs regarding space and or operational issues.

Acts as safety coordinator.
  • Facilitates health and safety needs (EH&S and Risk Management) between campus and each reserve. Acts as a campus liaison and coordinator in times of emergencies (fires, floods, vandalism, earthquakes, etc.)

May assist with fundraising related duties.
  • Engage in fundraising for the Reserves, including working with campus Development office, cultivate donors and organize & stage donor events. Along with grant writing and fundraising, seek other avenues of funding for the Reserves.
