Responsible for managing the administrative operations of a school, OR a medium to large academic department, OR several small departments within a college, OR a medium to large non-academic department. Typically includes all or most of the following functions: IT, facilities, student services, contracts and grants, budgetary financial management and/or human resources. Manages a professional staff, typically large, and/or comprised of professionals in various fields. Assumes accountability for decisions made by subordinates. Performs long and short term planning for function. Erroneous decisions or failure to achieve goals results in additional costs and personnel, and serious delays in overall schedules.

Department Custom Scope
Reporting to the Dean of the Graduate Division, the Assistant Dean/Chief Financial & Administrative Officer (CFAO) serves as a principal advisor to the Dean and the Associate Deans. The position has full responsibility for directing the administrative operations of the Graduate Division, which includes planning, directing, and coordinating the academic and financial affairs of the Graduate Division. In fulfilling these responsibilities, the Assistant Dean/CFAO plays an integral role in the development of the Dean's long range goals and objectives, and provides executive leadership and direction in the implementation of the Graduate Division's administrative and financial policies and procedures. The Assistant Dean/CFAO will supervise six (6) unit heads/directors; Financial Operations Manager, Admissions Manager, Director of Academic Affairs, Director of GradSuccess, Director of Outreach/Recruitment and Director of Research Ethics and Education Program.

Key Responsibilities

Manages, plans and administers all administrative operations of a school, OR a medium to large academic department, OR several small departments within a college, or a medium to large non-academic department.
  • The Assistant Dean/CFAO is responsible for all aspects of the Division's finances, including research administration, managing, planning, and administering the fiscal, procurement, and facilities operations. Additionally, provides, both the depth and breadth of management, strategic planning, and financial reporting/analysis expertise required within the Graduate Division. Supervises assigned staff, including training, evaluation, and oversight of assigned directors. Defines and ensures service orientation among all staff, sets and clarifies service levels and delivery standards, and collaborates effectively with others to ensure appropriateness and relevance of services and operational practices to optimize achievement of assigned units.

  • The budget and financial services responsibility encompasses all fund groups and state-supported as well as self-supporting programs; development and implementation of all financial policies and procedures. Coordinate the annual and long-range budget development and projections; internal operating budgets. Along with overseeing capital projects; contract and grants administration; all purchases and daily financial transactions; payroll for faculty, staff and students; audit compliance assurance and revenue planning and financial controls

Manages systems and procedures to protect departmental assets.
  • Responsible for audit management, internal controls, risk assessment and abatement, and will play a key role in strategic planning and new program development. Collaborates with Campus counterparts, in managing financial administrative issues, with a strong emphasis on central departmental administrative systems and internal controls.

Plans for physical plant rehabilitation and renovation.

May oversee administrative functions for complex operations such as clinical laboratories or patient care facilities, typically to include significant budgetary accountability.

Represents the department on business affairs to the institution community.

Develops and prepares budgets and financial reports for grants, general appropriations, endowments and other funds. Funds appropriations are typically moderate in complexity.
  • Manages and coordinates all campus activities regarding NSF GRFP Fellowship awards. Coordinates all campus GAANN projects regarding financial eligibility and required matching. Oversees the preparation and management of grant and contract proposals involving a diverse and/or wide variety of funding sources and agencies.
