Custom Scope
Assists in planning, organizing, and implementing events and functions, which may include symposiums, conferences, program events, banquets, and VIP briefings. May independently manage small, non-complex events.

Department Custom Scope
The UC Riverside, Office of Event Management & Protocol is recruiting for a Public Events Manager to plan and implement ongoing annual events, and assist with the coordination and production of campus-wide public ceremonies and high-profile major events. The Public Events Manager will work collaboratively with campus stakeholders, service providers, and vendors to create successful special events that will make a positive impression on UC Riverside's constituents, and will enhance the University's image and attractiveness as a worthy focus of charitable giving and other forms of support.

Key Responsibilities

Description % Time
Plans, organizes and implements small events or portions of larger events such as symposiums, conferences, program events, banquets, and VIP briefings.
  • Develops and implements overall plans of action for small one-time events and ongoing annual events such as receptions, public lectures, and dinners. Plans and manages specific elements of major events such as luncheons, tours, and pre- or post-event receptions.

Manages small events.
  • Prepares and submits work orders to campus service providers, orders event furniture and A-V equipment. Coordinates the development of invitations and invitation lists. Arranges for catering, parking, and security. Processes guest reservations, prepares RSVP lists, and prints name tags. Provides on site coordination at events. Obtains cost estimates from service providers and vendors to ensure that event expenditures remain within the approved budget.

Scouts potential locations and/or vendors for future events.
  • Evaluates potential event venues and advises regarding suitability taking into account size, capacity, pricing, accessibility, availability of parking, catering, etc.

Oversees operational support staff.
  • Serves as departmental liaison with venue staff, service providers, and vendors. Provides directions to event staff.

Participates in planning, organizing and staffing larger or more complex events, including being assigned responsibility for a specific event segment such as parking/transportation, catering, et cetera.
  • Coordinates and manages specific aspects of public ceremonies and major campus events such as event load-in and set up, guest check-in, catering, speakers and entertainers, faculty participants, event staff and volunteers.

Coordinates event marketing and communications. Maintains and updates department and event web pages, electronic calendar entries, social media accounts, and online reservation pages. Responds to all e-mail, telephone, and social media communications in a timely manner. Serves as one of the office's front-line customer service representatives by providing phone back up assistance as needed.

Working knowledge of concepts, principles and practices of event planning and production and public relations. Required
