Department Custom Scope
The Academic Senate completes the shared governance mandate of the UC Board of Regents, to exercise direct control over academic matters of central importance to the University. The Senate is comprised of the Executive Council and more than 26 standing committees (and ad hoc committees). The Academic Senate has oversight responsibility for mission critical policies including curricula, instruction, course approval, admissions, faculty promotion and tenure. Under the general direction and guidance of the Executive Director, the incumbent will learn to provide analytical and administrative resource support for committee operations. Since the committee chairs and membership rotate from year to year, the Analyst will: -Provide continuity and historical perspective necessary to accommodate changes and maintain consistency; -Conduct research, provide comparative reports, statistical analyses and historical summaries, and assist in decision making and providing recommendations that are necessary for smooth and consistent administrative oversight; -Serve as a resource Analyst to the chairs, committee members and campus community on policies and procedures in the full range of committee responsibilities and duties; -Maintain a complete record of all actions and decisions in accordance with Senate and university requirements. The entry-level Analyst, while assigned to support specific committees, is also called upon to function as a member of the Academic Senate Office team. As such, the Analyst will participate in activities that relate to the Academic Senate as a whole and is expected to assist all committee members, colleagues, and campus community members with a variety of needs associated with Academic Senate Office operation as well as provide effective back up during peak periods, absence of peers, and/or filling in during vacancy. Under the supervision of the Executive Director, the Analyst learns to be responsible for assuring up to date knowledge and smooth operation during back up of assigned colleague(s). Additionally, the Analyst is expected to accept rotational committee assignments based upon operational priorities, needs and/or cross-training efforts. Key Responsibilities: I. Policy & Resource Analyst who provides analytical and administrative support to a portfolio of Senate standing committees: Committee on Rules & Jurisdiction, Committee on Memorials & Resolutions, Committee on Scholarships & Honors, Committee on Distinguished Teaching, Committee on Distinguished Campus Service, and Faculty Research Lecturer Committee. II. Academic Senate Office General Administrative Support & Liaison Providing general administrative support, the Analyst will handle daily office operations. III. Divisional Meetings, Calendar and Event Coordination for the Divisional Chair, and the Academic Senate Office.

  • POLICY & RESOURCE ANALYST WHO PROVIDES ANALYTICAL AND ADMINISTRATIVE SUPPORT TO A PORTFOLIO OF SENATE STANDING COMMITTEES (COORDINATION OF COMMITTEE FUNCTIONS) -COMMITTEE ON SCHOLARSHIPS & HONORS, COMMITTEE ON DISTINGUISHED TEACHING, AND COMMITTEE ON DISTINGUISHED CAMPUS SERVICE: Assist Chair with interpretation of bylaw and regulation impact on committee actions; Forward to the Chair items for committee review and approval; Remind Chair of deadlines for proposals or other matters; File committee decisions and meeting minutes as submitted by Chair; Coordinate committee meeting dates and location; attend meetings and create minutes; write and edit correspondence, and reports. Identify proposal/nomination issues, acquire clarification or additional information from applicants or award nominators. COMMITTEE ON FACULTY RESEARCH LECTURER-Assists in assuring this distinguished award committee carries out its charge. Committee's function is highly confidential, the Analyst must accept and process all award nominations with the utmost confidentiality. Incumbent will coordinate all administrative aspects of the award committee; Analyze data and reports; Write and edit correspondence, call for awards, and all reports; Ensure campus and public information on the award; Accept and organize award nomination packets; Coordinate committee review of award nominees; Serve as liaison to the Chancellor¿s office for coordination of award winner recognition; Coordinate all activities related to lecture held by recipient of the Faculty Research Lecturer award.

  • ACADEMIC SENATE OFFICE GENERAL ADMINISTRATIVE SUPPORT & LIAISON PROVIDING GENERAL ADMINISTRATIVE SUPPORT, THE ANALYST WILL HANDLE DAILY OFFICE OPERATIONS, INCLUDING: Serving as the focal point of incoming communications; Answering phones, directing and screening calls; Monitor and reorder office supplies; Place service calls for maintenance and repair of office machines and facilities; and Prepare purchase requisitions and place orders for furniture and office items as requested by the Executive Director. In addition, the Analyst is responsible for all aspects of travel arrangements for the Academic Senate Office. Make and confirm reservations, initiate travel advance requests and travel expense vouchers. Audit reimbursements for accuracy. Inform new travelers about and implement systemwide (Office of the President) travel reimbursement policies and procedures. Act as primary liaison for the Senate with outside organizations to coordinate all phases of travel and expense reimbursement; Independently consult systemwide Academic Council and UCOP intercampus travel accounting personnel to resolve reimbursement discrepancies. Other duties as assigned.

  • POLICY & RESOURCE ANALYST WHO PROVIDES ANALYTICAL AND ADMINISTRATIVE SUPPORT TO A PORTFOLIO OF SENATE STANDING COMMITTEES (COORDINATION OF COMMITTEE FUNCTIONS) - RULES & JURISDICTION: Forward to the Chair items for committee review and approval; Remind Chair of deadlines for proposals or other committee matters; File committee decisions and meeting minutes as submitted by the Chair; Coordinate committee meeting dates and location; attend meetings and create minutes; write and edit correspondence and reports. Consult with Committee Chair on significant issues, proposed actions, policies, and procedures as they relate to the execution of the committee's charge. Assist with research to provide background materials for discussion items. Maintain liaison with corresponding Systemwide Senate committee. Provide information to academic counselors, students and administrators, concerning Senate regulations and act as back-up for Divisional Elections. Assists in review and analysis of policy and legislative proposals for consonance with the Code of the Academic Senate; edit and publish the Academic Senate Manual; advise Catalog Editor of impending and final legislative actions which affect content of the Catalog or other UCR publications. MEMORIALS & RESOLUTIONS: Re-invigorate Committee's activities and statutory obligations, including but not limited to: Coordinate ad hoc committee appointments; Provide background information to ad hoc committees; Prepare appropriate correspondence and oversee distribution of In-Memoriam publication to the families of the deceased and campus administrative officers. Coordinate committee meeting dates and location; attend meetings and create minutes; write and edit correspondence, and reports.

  • DIVISIONAL MEETINGS, CALENDAR AND EVENT COORDINATION FOR THE DIVISIONAL CHAIR, AND THE ACADEMIC SENATE OFFICE-Maintain calendars and schedule appointments for the Divisional Chair, which requires extensive coordination and an in-depth understanding of the urgency, subject, travel schedule, and priority commitments. In addition, the Analyst may be assigned to follow up on actions delegated to other individuals or offices and coordinate special meetings of the Division or Executive Council. In addition to the quarterly Division Meeting, the Analyst will plan and schedule ad hoc events and meetings for the Academic Senate and the Divisional Chair, anticipating all requirements for goods and services. Duties include determining locations for events, negotiating contracts and providing for all catering and audio/visual needs.
