Generic Scope
Provides direct supervision typically to professionals or skilled technical employees. Functions as advisor to unit and administration. Analyzes and resolves problems, interprets policies (e.g., fiscal management, HR, contracts and grants, resource management in defined areas) and demonstrates solid subject matter knowledge. Exercises judgment within defined procedures and policies to determine appropriate action. Supervises staff to assure accountability and stewardship of department resources (operational, financial, and human) in compliance with departmental goals and objectives.

Custom Scope
Supervises Admissions Recruitment Specialists and support staff and administers a portion of an admissions or recruitment program. Independently oversees day-to-day operations, and determines goals and performance expectations of subordinates. Makes recommendations on improvements to program/function to manager(s).

Department Custom Scope
Responsible for all aspects of the medical school admissions operational activities which includes developing and administering programs and participation in the strategic planning and recruitment, admission and outreach activities. Oversees the processing and review of more than 5500 applications annually, coordinating and managing the multi-mini interview (MMI) sessions (at least 11 per year). Plans, coordinates and manages the Executive Admissions Committee meetings to provide management support to the Senior Associate and Associate Dean of Student Affairs, the Chair of Admissions and committee members. Gathers, analyzes and prepares reports and spreadsheets on applicant data for admission process and maintains AMCAS status reports. Advises prospective applicants to ensure recruitment and retention rate success. Serves as primary contact for AMCAS administrative duties and oversees all other technical updates related to the medical school admission and application process. Has significant impact and influence on organizational structure and policies related to the overall medical school admission process. As an ambassador for the School of Medicine, represents the medical school at various student recruiting events. Provides holistic support services and outreach to all potential and current and/or former students. Responsible for the day to day operations, oversight and management of events and programming for school sponsored extracurricular student life, career support and advising. Serves as a student advocate. Supervises the execution of medical/graduate student events in order to create a welcoming and supportive culture that promotes optimal success and retention of medical students. Works with Student Affairs staff and faculty to support medical students in extracurricular activities. Works directly with students and student leaders to tailor events to their specific needs and requests. Advises students on UCR SOM policies and protocols. Acts as liaison both internal and external to medical school. Participates in the development of the strategic and operational plans for the SOM. Oversees the supervision, support and development of members of the Student Affairs team including events planning, careers and administrative support. Helps manage daily operations of the Student Affairs team.

  • Evaluates effectiveness of admissions and/or recruitment programs and makes recommendations for recruitment strategy to enhance yield. Assists management in the design and implementation of admissions programs, events and medical student support. Evaluates the effectiveness of the recruitment program, considering general college admissions/enrollment goals, financial aid/scholarships, number of UC applicants, acceptance rate and graduation rate from the University. Evaluates the effectiveness of medical student programming, including orientation, wellness events, career planning and other programs.

Represents department at internal meetings and on committees.
  • Promotes good relationships within the School of Medicine as well as outside institutions, which can be helpful in attracting and maintaining quality students. Serves as primary contact for AMCAS administrative duties and all other technical updates related to the medical school admission and application process.   • Reviews most difficult and complex admissions cases, provides assistance to experienced admissions specialists. Provides assistance to Student Affairs staff who are working on events/activities and medical student support to ensure successful completion. Reviews policies and procedures and suggests revisions as appropriate.

Manages electronic files, applications and department publications.
  • Assesses applicants for motivation, initiative, leadership potential, work/life experience, extracurricular activities, socioeconomic status, disability and educational/personal hardship. Uses extensive knowledge of SOM requirements and applicant pool to assess applicants' overall record and experience for final admissions determination and recommendation. Uses professional judgment when reviewing complex applications for admission.

Participates in development of department communications. Reviews and revises applicant messaging as appropriate throughout admissions/recruitment cycle.
  • Advises prospective applicants to ensure recruitment and retention rate success. Supports current medical students to academic and professional success in residency placement.

Makes hiring recommendations, trains staff, may deliver employee performance evaluations, counsels staff and recommends corrective action.
  • Recommends hiring of new employees, salary actions, terminations and performance evaluations. Effectively manages unit staff, including developing individuals and providing cross-training.

Monitors employee performance to ensure goals and objectives of the unit are met. Oversees the day-to-day operations of the unit.
  • Oversees the work of lower level Admissions, Event and Administrative Specialists.

Leads system implementations, upgrades and enhancements. Identifies associated changes to business practices and updates policies and procedures.

Works with Event Coordinator, Administrative Assistants and other staff to plan consistent high quality programming that supports medical students' academic and professional development in addition to overall wellness. Reviews evaluations from previous year's events and makes recommendations to staff about future directions of upcoming events. Provides support, as needed, for the successful implementation of the event programming for current medical students. Oversees the timely evaluation of events and activities that were provided to the students. Obtains direct feedback from medical students and staff regarding future programming events.

Works directly with the Admissions Chair in planning, organizing and implementing the School of Medicine medical school admission process. Organizes and prepares interview materials, reviews applicant files and schedules interviews in preparation for conducting the Medical School Multi-Mini interview (MMI) process for applicants and interview committee members. Works with relevant departments to ensure holistic support services. Reviews annual schedule of UCR SOM student events/activities and ensures that they are evaluated and adjusted, eliminated or re-structured as appropriate. Devises surveys, with input from students and staff, to assess relevance of programming.

Gathers, analyzes and prepares reports and spreadsheets on applicant data for admission process and maintains AMCAS status reports. Prepares and maintains statistics regarding enrollment, geographical distribution of students, through retention and attrition. Reports this data to SOM leadership. Maintains strict confidentiality at all times when adhering to the Federal Education Rights and Privacy Act (FERPA).
