Working independently under general supervision using professional Registrar student record based concepts, applies a level of breadth and depth with student record and service delivery practices, policies, and regulations.

Department Custom Scope
The Athletic Certification and Degree Audit Specialist is responsible for reviewing and conferral of student degrees in accordance with the Academic Senate regulations and College approvals. This position is also responsible for all NCAA student-athlete certification based out the Registrar's Office. As part of the Degree Audit and Graduation team, this position will be updating and implementing new technologies to enforce graduation requirements for all students.

Key Responsibilities

Description % Time
Interprets regulations and develops or recommends procedures to ensure compliance and accurate student record maintenance and services. Reconciles large volumes of student data from multiple sources. Identifies and resolves mismatches and errors.
  • Keep abreast of changes, interpret, and act on NCAA Division I, Conference, and UCR regulations affecting student athletes and students in general. Attend and participate in conferences, seminars, and meetings on a local, regional, and statewide basis to develop and maintain professional knowledge of NCAA and conference policies/procedures. Suggest changes to procedures within area based on changes in rules and regulations. Integrates Senate program approvals into programming of degree audit.

Analyzes a variety of student record factors and applies working knowledge of federal, state, University, and outside agency laws, regulations, and policies to determine student record outcomes.
  • Evaluate, certify, monitor, and document student athletes' academic eligibility for sports participation under both NCAA Division I and administrative bylaws. Analyze prior college transcripts for new transfer student-athletes to determine when athletes are eligible to participate. Reconcile and verify data for all eligibility certificates. Utilize the degree audit to verify athletic eligibility and to complete graduation processing for all students. Assure security of all student records.

Advises departments on existing student record procedures, resources, and options available.
  • Liaise with Athletic Department, Undergraduate Admissions office, college and academic advisors, and any other unit seeking clarification, resolution of discrepancies, and/or problems regarding student-athletes athletic status and eligibility, graduation and degree audits. May assist in training advisors and other staff on graduation applications and degree audit.

Participates in decision-making and testing process regarding the development and maintenance of student record systems.
  • Participates in the development of Banner and Degree Works (to include Scribe) by identifying problems and testing resolutions. May also play a significant role in the development of the athletic eligibility audit in Degree Works.

Identifies and implements database elements, queries, and reports needed to monitor programs.
  • Utilize reports in Cognos to proactively audit and correct student records in preparation for athletic certification (student athletes) and degree conferral (all students) to ensure records are accurate and up to date. Provide suggestions or report enhancements or new reports as appropriate.

Critically review and evaluate degree audits ensuring all degree requirements have been satisfied for graduating applicants; confer degree. Review student record data as appropriate. Consults with experienced level staff and/or advisors when reviewing more complex student record issues.
