Department Custom Scope
Reporting to the Associate Recreation Director - Facilities and Operations the Recreation Department Risk Management and Safety Coordinator is responsible to design, develop, implement, coordinate and generally administer the departmental risk management, safety and emergency response programs which encompasses the department's facilities, operations, programs, services and employees. The comprehensive risk management program includes the policies and procedures governing safety training and practices; risk management; incident, accident, injury and illness reporting; emergency planning and response; workers compensation; mandatory trainings; insurance; facility safety inspections and certifications; documentation and reporting. Incumbent acts as the department liaison with campus Environmental Health and Safety and campus Risk Management units and the internal department constituents.

Key Responsibilities

Description % Time
Applies professional concepts to administer and perform operations relating to casualty, employee injury, property-loss insurance programs, and loss prevention activities.
  • 1) Program Risk Management: Conducts on-going risk analysis of department program activities and designs risk management policies and procedures to ensure the safety and well-being of participants. Monitor and ensure compliance with waiver form requirements including collection and storage. 2) Facility and Equipment Risk Management: Conducts on-going risk analysis of departmental facilities and equipment and designs policies and procedures to ensure their safe operation. Ensures all necessary safety certifications and inspections for all facilities / equipment are conducted and accomplished on time. Works with program unit heads to schedule inspections. Maintains all record-keeping and documentation. Events Risk Management: Ensure that all necessary certificates of insurance (COIs) are acquired. Ensure that all necessary participant waiver forms are acquired. Design and communicate fire and life safety plans for event set-ups. Employee Safety Training (UC mandated and job-specific): Monitors compliance and keeps records of all safety trainings / certifications required by UC and industry governing bodies. Functions as a CPR/1st Aid/AED Trainer/Instructor and maintains a team of instructors to provide certifications classes for department employees and the general campus as needed. Manage and administer the DMV pull notices for employee drivers and update as needed.

Under general supervision, submits and administers complex claims and monitors payments in casualty, employee injury, and/or property insurance programs. Participates in appraisal and adjustment proceedings.
  • Manages workers compensation, injury and illness reporting requirements. Ensures timely reporting and compliance with all relevant campus and state policies and procedures. Maintains all records.

Acts as the department liaison with Environmental Health and Safety and Campus Risk Management units; stays abreast of new developments in these areas and makes adjustments to departmental policies, procedures and activities accordingly. Communicates all changes to department personnel. Monitors and ensures compliance with campus and industry standards related to chemical storage and usage.

Emergency Response: Responsible for the design and administration of the departmental Emergency Response plan in alignment with the campus Emergency Action Plan. Communicate the plan and train each functional area regarding responsibilities and required actions.

Departmental Safety Coordinator: Manage and administer safety programs for employees; ergonomics, safe work techniques, routine safety inspections of facilities and equipment, safety equipment programs (shoes, etc.), manage inventory of first aid supplies, gloves, masks, and other safety products.
