Department Custom Scope
As Executive Administrative Specialist, provides executive level coordination and support to designated individuals, and when needed, other high-level management and staff in the Dean's office. Provides executive level programmatic and administrative support on a wide range of issues, projects, programs and on matters of importance to the School of Medicine. Represents the SOM in a professional manner, exercising sound judgment, tact and the utmost discretion. Has thorough understanding of the priorities and expectations of senior leadership and takes these into account in coordinating schedules. Manages calendars, assuring the designated individuals are scheduled appropriately, fully briefed and have all relevant background materials for each engagement, as well as tracking all tasks and deliverables due. Manages all aspects of the designated individual's business. Strategizes and advises in university communications, meetings/travel schedules, campus and community events, etc., regarding the leader's role as it applies to each situation. This includes travel prep, briefings, follow up and timely reimbursement. Staffs relevant SOM committees and work groups; develops and distributes agendas, attends meetings, records highlights, tracks action items and initiates follow up as necessary. Maintains electronic and hard copy filing systems for easy retrieval. Initiates policies and procedures within the office to achieve maximum efficiency. *The classification title and salary range for this position are currently under review. The classification for this position is covered under the Teamsters Local 2010 (Clerical and Allied Services (CX)).**

Key Responsibilities

Gathers and analyzes financial and other resource data; prepares reports or analyses of operational activities, evaluates current and proposed services, etc.
  • Coordinates calendars for designated officials, making scheduling decisions in accordance with the executive leaders. Synthesizes and reviews information and briefs designated officials and others in advance of meetings, conferences and travel. Ensures all logistics are taken care of relating to travel and events. Maintains research/teaching evaluations: keeps electronic and hard copy files of various research and research related projects. Assists in the development and strategic planning of upcoming research plans, activities and collaborations. Coordinates and schedules interviews with candidates and various internal and external constituents, coordinates itineraries, provides all relevant interview materials to search committee. Arranges parking permits for visitors/interview candidates.

Administers a defined operational program or activities which may include some of the following functions: finance, facilities, payroll, space planning, student services, human resources, communications, informational technology or safety.
  • Provides analytical and project management support to designated officials and other executive staff in the Dean's Office as needed. Interacts extensively with senior staff to gather needed data and information, analyzes a wide range of complex issues and requests, provides sound recommendations, takes action to resolve problems and follows up to ensure issues are resolved appropriately. Assists with LCME accreditation process as needed: providing supporting documentation, tracking progress of various documents/materials and taking minutes for sub-committee meetings.

Functions as a resource on issues such as researching complex financial discrepancies, escalated customer service problems and vendor concerns.
  • Briefs the Principals in the Administrative unit on problems of significance and urgency and offers suggestions when possible actions or responses.

Screens incoming mail and tracks action items to ensure timely response. Routes mail, responds to or redirects correspondence as appropriate. Serves as back-up for front reception desk within the Dean's suite.

Assesses and recommends changes to maintain compliance with federal and state requirements and internal policies.

Participates in the development and revision of standard operating procedures and guidelines.
  • Responsible for the development and maintenance of the standard operating procedures (SOP) for the role. Participates in ongoing Business Operations training for the SOM.

Conducts trends analyses and helps develop resulting recommendations.

Staffs various ad hoc committee meetings and/or task forces and transcribes meeting minutes.

Assists in coordination of annual evaluation/appraisal process. Sends out reminders regarding appraisal submission, collects appraisals and sets up appraisal reviews for those reporting to designated officials. Able to maintain a high level of confidentiality. Maintains copies of appraisals.
