Generic Scope
Provides immediate supervision to a unit or group of operational or technical employees. A portion of time may be spent performing individual tasks related to the unit; however, supervisory activities must constitute a primary part of the job. Supervises unit operations to ensure compliance with departmental or organizational policies, procedures, and defined internal controls. Ensures accountability and stewardship of department resources (operational, financial, and human) in compliance with departmental standards and procedures.

Receives predetermined work assignments that are subject to a moderate level of control and review. Instructs direct reports to complete assignments using established guidelines, procedures and policies. Requires full knowledge of own area of functional responsibility. May perform custodial duties part of the time.

Department Custom Scope
The Custodial Assistant Manager supervises the day-to-day custodial operations to ensure a clean, safe and aesthetically pleasing environment for all members of the campus community. Under the direction of the Sr. Manager, the Custodial Assistant Manager provides direct supervision and guidance to a team of Senior Custodians. Manages all phases of routine and/or emergency cleaning and general custodial maintenance of all dining facilities including but not limited to dining rooms, offices, meeting spaces, dining patios, back docks and kitchen equipment. Responsible for supervising, scheduling, training and assisting the Sr. custodian team; assists in deciding the procurement of custodial supplies and equipment; manages all custodial related emergencies; and coordinates the locking and unlocking of various dining buildings. Ensures safety procedures and protocols are maintained in all facets of the custodial operations. Provides operational support to other dining units as necessary, including but not limited to senior custodian training, auditing for compliance, recommending purchases, etc.

Key Responsibilities

Supervises the daily activities of custodial employees.
  • Provides direct leadership and guidance to custodial staff. Assigns shift schedules, work locations, work assignments and projects. May include the supervision of limited/temporary staff. Conducts assigned area inspections to ensure that work assignments are completed, and that quality cleaning and service standards are followed and maintained. Assists in the payroll management of the custodial department by reviewing, editing, and submitting employee timesheets. Participates in search committees and assists with making hiring selections of job applicants; selects and hires staff and student workers.

Plans, organizes and directs routine custodial operations.
  • Directs and schedules work within assigned area. Addresses schedule changes (shift and/or work location) for absent staff members and facilitates routine staff 1:1 meetings. Schedules and coordinates routine and emergency pest control. Coordinates, leads, and inspects hood cleaning for all operations. Coordinates movement of custodial supplies and equipment throughout the campus. Effectively communicates information, orally and written, when managing all custodial related emergency and non-emergency calls or requests. Performs cleaning and general maintenance duties as needed; including but not limited to carpet cleaning, picking up of large amounts of water, sanitary cleanups, etc. Conducts specialized cleaning; scrubbing, stripping, and waxing of tile floors; operates buffers, vacuum cleaners and carpet shampooers, and extractors. Reports conditions for items requiring repair or replacement, or of potential safety hazards. Provides operational support to other dining units as necessary, including but not limited to senior custodian training, auditing for compliance, ensuring proper chemical usage, ensuring proper equipment use, recommending purchases, etc.

Trains and supervises the custodial staff to maintain an orderly, safe, and efficient cleaning operation.
  • Schedules routine safety meetings with staff in support of departmental health and safety programs/initiatives. Assists with the implementation of process improvements to provide a safe working environment. Manages and trains staff to ensure proper protocols for use of equipment, materials, supplies and cleaning products are adhered to. Cross trains custodial staff to perform a variety of custodial tasks. Ensures appropriate use of personnel protective equipment as necessary. Performs consistent audits of work by custodial staff to provide on-going training and coaching. Enforces proper biohazardous clean-up procedures.

Maintains proper inventory needs and purchase inventory.
  • Establishes and maintains inventory records and cost control procedures. Assists with the ordering, verifying, and receiving of all custodial related supplies and equipment; follows up with vendors to adjust, modify or cancel orders of supplies or equipment.

Responsible for performance management.
  • Effectively communicates and enforces departmental policies, procedures, goals and expectations to staff. Provides constructive feedback and takes disciplinary action, when necessary. Prepares and conducts annual performance evaluations with custodial staff. Provides consistent coaching conversations, and on-going training.

Supervise building lock up schedules and security of assigned buildings.
  • Coordinates the the locking and unlocking procedures of buildings throughout Dining operations/buildings in conjunction with unit leadership. Communicates concerns over security of buildings with Dining leadership.

Requires knowledge in the care and use of power equipment.
  • Facilitates the maintenance and repair of custodial equipment through vendors or by other Facilities Services units; performs troubleshooting and minor maintenance repairs on equipment as appropriate. Tests, evaluates, and initiates new cleaning methods and the use of new supplies or equipment. Provides guidance and proper training to staff on the care and use of equipment and materials, ensuring adherence to safety policies and procedures.

Enforces safety, hazardous materials and custodial policies and procedures are adhered to by the custodial staff.
  • Enforces bio-hazardous clean-up materials, equipment, and procedures. Enforces proper handling and mixture of chemicals. Interprets and applies the rules and regulations from Cal-OSHA, Union Contract (SX), and SDS sheets; consults with upper management and/or HR as necessary.

Maintains scheduling within prescribed budgetary guidelines.
  • Monitors and controls operational expenditures, in an assigned area of the department, ensuring the budget guidelines are being met. Communicates with facilities on any work tasks that require the use of facilities services. Maintains various project reports and cost estimates.
