Department Custom Scope
Under the general supervision of the Superintendent of Maintenance Services, the Administrative and Project Specialist will provide data analysis, support project management, and coordinate the administration of the Maintenance Services unit within Facilities Services. The Administrative and Project Specialist will provide direct support to the Superintendent, Assistant Directors of Maintenance Services and Project Manager by applying analytical skills to aid in the development, execution, and evaluation of unit procedures, policies, programs, and projects. The incumbent will recommend administrative procedures concerning short and long-term solutions when implementing new projects and initiatives; oversee progress, troubleshoot, plan and coordinate a variety of projects, assignments and programs with multiple deadlines. Utilizes the work order system to prepare analytic reports, summaries and KPIs for Maintenance Services and FS Leadership; analyzes data, produces reports including operational performance metrics, trends and forecasts to be used for strategic planning. The incumbent works collaboratively with Facilities Services staff and Senior Leadership, as well as across the campus community with campus partners.

Key Responsibilities

Description % Time
Provides administrative and project support to Maintenance Services leadership; maintains calendars, coordinates meetings and associated documents; oversees, maintains and organizes files, supplies, equipment, etc. Drafts, collects and manages briefing and background materials; informs leadership of time sensitive issues and materials. Liaison and facilitator of FS departmental programs and initiatives such as onboarding/off-boarding, performance management, etc.

Provides a variety of analytical duties in support of a function, research initiative, program and/or organizational unit.
  • Assists the superintendent, project manager and assistant directors to monitor progress, schedules, milestones and deliverables for maintenance and renovation projects with multiple deadlines. Organizes documentation, data and information related to projects, programs and initiatives for Maintenance Services.

Using subject matter knowledge, collects and prepares information for use in discussions, meetings of internal and external constituents.
  • Provides support and assists in project management related to project documentation, drawing/plans, permits, etc.; researches materials, building codes, campus standards and policies.

Participates in administrative/research policy and program project planning and development.
  • Participates in the development and implementation of unit goals, strategic planning and programs; assists in the review of operations and services to identify operational efficiencies and integrate best practices.

Provides recommendations and guidelines involving programs/initiatives.
  • Collaborates with FS staff, leadership and campus partners to ensure programs and procedures (i.e. safety, uniforms, certifications/trainings, etc.) are established, followed, and maintained. Tracks, organizes and collections information incidents, materials and procedures to recommend program improvements.

Coordinates program planning and collaboration with program/project staff.
  • Disseminates information and correspondences throughout the department, to campus partners and FS leadership. Serves as a primary point of contact and resource; refers, assists and redirects staff inquiries to the appropriate 10 partners (FS HR, Supervisors, Leadership, etc.). Serves as a resource in the application of analytical and evaluative methods and principles.

  • Benchmarks with other UC campuses and industry standards to inform best practices. Assists in the creation, monitoring, and updating of documents such as KPIs, graphs, data, flow/process charts and procedures. Collaborates to develop and improve training resources; assist in the creation with and maintenance of quality assurance programs.

Gathers and assembles analytical and factual data on assigned problems and issues to prepare reports and/or analyses summarizing information on the assigned issues and commenting on other significance for internal or external constituents.
  • Recommends appropriate procedures and methods to prevent problems and improve effectiveness in projects, initiatives and execution/delivery of unit services.

Prepares, edits and modifies documents including research reports, manuscripts, presentations and proposals.
  • Develops, prepares and presents analytical reports, research, project plans, and/or initiatives to department leadership and campus customers and leaders. Creates, develops, and manages graphs, data and visual documents; provides reports for reoccurring weekly, bi-weekly and monthly updates. Facilitates and coordinates collection and dissemination of reports to other teams as necessary.
