Custom Scope
Under general supervision, develops and/or oversees research proposals, awards and/or transactions related to contract and grant management and maintains contract and grant records in compliance with institutional and research sponsor policies. Works on proposals of moderate scope such as single investigator NSF proposals where analysis of financial information or reports requires review of a variety of factors (e.g. budgets, salaries, expenses, etc). Receives assignments on project basis and fully analyzes problems, gathers data and information, and recommends solutions. May be eligible for delegated signature authority. Completes and approves transactions for signature by manager or other authorized institutional official.

Department Custom Scope
The custom scope is revised in the following aspects: (a) The position involves no post-award administration. No contract and grant management, post- award record-keeping, or post-award compliance management activities are within the defined scope. (b) Works independently on small to medium-size proposals and contributes to large-size proposals. (c) Provides full support to faculty during the preparation of primarily small proposals. Typical activities include reading funding opportunities, identification of proposal components, preparation of proposal checklists and outlines of components, budget and budget justification development, request and collection of proposal documents from UC Riverside investigators and any external collaborators, formatting documents as needed, coordination of the proposal preparation process for submission to the Office of Research and Economic Development (RED) in a timely manner, and solving issues as they present (d) Contributes to the identification and distribution of relevant funding opportunities.

Key Responsibilities

Description % Time
Read and review solicitations and develop responsive proposal checklists and component outlines. Provide support and guidance to Principal Investigators (PIs) on the preparation of contract and grant proposals. Identify potential issues pertaining to internal compliance and approval, such as biohazards, human/animal subjects, release time, construction costs, and subcontracting. Identify sponsor requirements that can affect the competitiveness of the proposal. Establish and enforce schedules for proposal preparation. Develop project budgets and budget justifications. Prepare supporting documents as needed. Format documents as needed. Package and upload proposal materials for submission. Assure that proposals are fully responsive and compliant with sponsor requirements. Communicate with all internal and external collaborators in a timely and professional manner. Prepare simple to medium-complexity proposal budgets and support documents that are required by solicitation guidelines. Under general supervision, organize, monitor, produce, and review all materials for contract and grant proposals. Schedule and enforce workflow to assure timely submission in accordance with all institutional and sponsor requirements. Read and interpret solicitations and obtain clarifications from the sponsor or University experts as needed. Advise on proposal strategies for compliance and competitiveness. Maintain archives of proposal content and other resources.

(CR): Under general supervision, provides advice and counsel regarding sponsored projects administration to Department Administrators and PIS. Supports grant writing and proposal development initiatives to improve funding success.
  • Coordinate/manage the overall proposal preparation process and submission to the Office of Research and Development (RED).

(DR): Advises department administrators on compliance regulations.
  • Ensure the proposals are compliant and responsive to the requirements of the sponsors and upload the proposal components to the submission portal.

(CR): In compliance with institutional and sponsor policies, establishes mandated recordkeeping.
  • Maintain commonly used proposal resources, including boilerplate descriptions of UC Riverside resources and biographical sketches. Collect, review, and summarize reviewer comments and maintain a file of lessons learned for future proposals.

(CR): Develops professional relationships with sponsor representatives to help identify funding opportunities for researches.
