Department Custom Scope
Under the general direction of the Financial and Administrative Officer of the Economics and Political Science Department Administrative Unit, responsible for all aspects of the Department of Political Science Graduate Student Program Support including advising students on course selection, communicating policies to a diverse group, acting as the liaison between the department and the Graduate Division on various issues, and working with the analyst and FAO to ensure graduate student funding and employment matters are in compliance. Responsible for the processing of reimbursements for both departments and various other administrative duties for the administrative cluster.

Key Responsibilities

Description % Time
Applies professional student services concepts in providing a variety of student services to the student population served by the organization, and to faculty and management within that organization.
  • Advise graduate students on course selection, academic opportunities and choices. Serves as graduate students' first point of contact. Track progress of graduate students and monitor academic achievement. Coordinate teaching assistant forms, evaluations, and appointments quarterly. Serve as department liaison to Graduate division with respect to the processing of masters, qualifying examinations, dissertation proposals and dissertation defense. Maintain and prepare students informational materials, course schedules, rosters and directories. Provide various constituencies with appropriate materials, information and/or referrals.

Academic Advising: Provides advice and assistance to students on academic and degree progress and major requirements; assists students in determining a major, alternative academic options, resolve scheduling conflicts, and similar issues.
  • Responsible for all aspects of Graduate Student Program Support, Responsible for providing assistance and information regarding the graduate academic program. Acts as a liaison between student and graduate division

Recruitment and Admissions: Implements outreach programs with specifically targeted institutions; advises prospective applicants on necessary academic preparation; appropriateness of program as it pertains to the prospective applicant's goals; reviews domestic transcripts for degree eligibility; initiates and arranges student recruitment visits.
  • In conjunction with external graduate support, assist in the grad recruitment, providing assistance to the graduate advisor in processing application sand all related paper work. Assist in maintaining a database for prospective applications applying to the program. Assist in the coordination process of preparation and review of application files. Complete the calculations of GPA's for domestic and international students. Follow up with the graduate advisor and faculty to ensure timely submission of application files for fellowships and admissions, Assist in determining admissibility by completing a graduate admissions evaluation and recommendation forms

Administrative Functions: Responsible for purchasing and procurement of equipment, supplies, software, furniture and computer supplies for the department. Responsible for tracking and reporting inventory on all departmental equipment. Completed purchase orders for small and large dollar items including computers, and computer peripherals, furniture, and software licenses as authorized under University Guidelines.

Course Management: Prepares course approval within the course request system (CRS) for Graduate and professional courses. Maintain and monitor compliance with Academic Senate Regulations, editing course descriptions to conform within the catalog copy guidelines. Drafts and/or edits justification. Modifying, deleting and restoring changes to existing course descriptions. Work with faculty on changes to syllabus and make changes in CRS. Work with other departments for cross-listed courses. Make annual changes or edits to the UCR course catalog.

Responds to requests for printing or scanning of exams, syllabi and course materials as well as maintaining supply inventory. Responsible, both independently and under general direction, for departmental special projects, computer needs and assistance, and curriculum and faculty support. Responsible for submitting work orders for building care and accessibility. Maintaining the key database; check keys in and out and record key transactions.

Financial Aid: Participates in the processing, evaluation, and awarding of student fellowships, grants, and other awards; advises students on financial aid options.
