Is expected to identify systemic problems and issues, and propose solutions to management.

Department Custom Scope
The Student Services Advisor develops and maintains the Graduate Student employment and appointment process, generates and issues appointment letters, audits entries into campus systems, and develops auditing and reporting to support this process. This position ensures compliance with all relevant bargaining unit contracts for graduate students and provides training to others on the appointment process. The advisor works with the college finance team on the CNAS scholarship program and manages the full cycle of the scholarship process from the fund disbursement, the announcement of available scholarships to students, coordination of faculty to score applicants, and distribution of award scholarships to recipients. The advisor is also responsible for CNAS graduate student data management including reporting and analysis for external agencies and internal constituents.

Graduate Student Employment: Analyze Graduate Student Researcher (GSR), Teaching Assistant (TA), Tutor, and Reader appointment procedures and develop new protocols as necessary to ensure compliance with bargaining unit contracts and service needs of students, faculty, and departments. Generate and issue appointment contracts. Audit employment entries in campus systems. Coordinate with payroll for the timely and accurate entry of graduate student appointments into the payroll system. Generate enrollment projections and advise on annual and quarterly course size and need based on enrollment projections.

Financial Aid: Recommends resolution of extremely sensitive, specialized, and/or complex financial aid issues; and/ or administers departments/schools/colleges block grants and restricted funds.
  • Scholarship management: Working with the CNAS Dean's Office finance team, maintain the full cycle of scholarship for students. This includes announcement of scholarships, advertisement to students, coordination with faculty to score applicants, and award of scholarships. Data Management: Maintain department database and spreadsheets to track student data for preparation of statistical reports. Create ad hoc reports on student demographics, progress towards degree, and other needs of the advising team. Prepare reports for Graduate and Undergraduate Advisors and additional information requests from campus units, federal and state agencies, and professional scientific organizations

Within an academic department/school/college, provides and makes recommendations for the improvement of Department/School/College Policies. Advises chairs/deans on the formulation of department/school/college policy on areas needing clarification and identifying solutions; analyzes the consequences of organization's academic policies: recommends new or changed policies; and recommends solutions to organization's problems without precedent.

Academic Advising: Identifies and refers for resolution intricate student issues/grievances such as alleged discrimination, complex grade dispute issues, and students' personal crises; recommends petition exceptions that affect the requirements of multiple departments; facilitates new course approval through interaction with the Coordination of College Policy, Academic Senate, or similar organization.

Participates in professional student services committees that develop policies/procedures with nationwide impact.

Advises students/scholars on highly complex visa and immigration policies and procedures. Interprets UC and government regulatory requirements that affect immigrant and non-immigrant students. Develops programs and workshops to meet specific needs of international students and scholars.

Acts as Training Lead provides new advisor training as well as ongoing training in emergent areas concerning Graduate Student Employment, Scholarships, and Fellowships. Develops and maintains job aids related to the topics above.
