Generic Scope
Provides immediate supervision to a unit or group of operational or technical employees. A portion of time may be spent performing individual tasks related to the unit; however, supervisory activities must constitute a primary part of the job. Supervises unit operations to ensure compliance with departmental or organizational policies, procedures, and defined internal controls. Ensures accountability and stewardship of department resources (operational, financial, and human) in compliance with departmental standards and procedures.

Custom Scope
Directly oversees day-to-day operations for a health professions education program, including site-based processes, logistics and operations, local site coordinator assignments and communications with faculty and staff.

Department Custom Scope
Under the supervision of the Director of Medical Education, the Associate Director of Clerkship is responsible for managing, implementation and operational activities for UCR School of Medicine's educational program for years 3 and 4. The Associate Director of Clerkship will work with the Director of Medical Education in designing, managing, and evaluating clerkships in keeping with the schools mission, overall competency based learning objectives and LCME requirements. Will be responsible for managing the Clerkship Coordinators and provide training and on-boarding to new staff.

Key Responsibilities

Directly supervise the work of on-site program coordinators with responsibility for the quality and quantity of work. Monitors progress and ensures consistency across centers.
  • Oversees the daily activities Y3/Y4 Clerkship Coordinators. Provides direction and training as needed. Interprets and assures compliance with federal/state laws and regulations and university policies regarding personnel maters for direct reports.

Supports students and faculty to operationalize site recruitment, development and implementation. Serves as first point of contact for learners and faculty regarding questions, concerns, access, scheduling changes, infrastructure needs and placement problems.
  • Evaluates and monitors the Y3/4 medical student academic progress. Assists in scheduling of student rotations, didactics, housing, etc. Assists in grade compiling and calculation and collecting the necessary assessments and evaluations. Attends and participates in clerkship orientations.

Supervises administrative site coordinators to operationalize site recruitment, development and implementation to ensure support and infrastructure is consistent and in compliance with program standards.
  • Manages the Y3/Y4 Clerkship Coordinators to ensure compliance within LCME Standards and the SOM policies and procedures.

Monitor, track and communicate with faculty and learners. Coordinates recruitment of faculty, and integration of learners into program sites. Oversees continuous process improvement at all sites.
  • Works with faculty and students to improve CQI results and ensure students are in a safe learning environment. Recruits clerkship sites for students as needed.

Participates in the selection, development and evaluation of staff to ensure efficient operations.
  • Manages and evaluates performance of staff. Ovresees recruitment and hiring of Clerkship Coordinators. Motivates, promotes and monitors professional growth and staff development.
