Custom Scope
Under general supervision, develops and/or oversees research proposals, awards and/or transactions related to contract and grant management and maintains contract and grant records in compliance with institutional and research sponsor policies. Works on proposals of moderate scope such as single investigator NSF proposals where analysis of financial information or reports requires review of a variety of factors (e.g. budgets, salaries, expenses, etc). Receives assignments on project basis and fully analyzes problems, gathers data and information, and recommends solutions. May be eligible for delegated signature authority. Completes and approves transactions for signature by manager or other authorized institutional official.

Department Custom Scope
Provides professional level financial/budget analysis and financial management for the Department of Statistics and various constituents. The incumbent provides high level administrative and technical support for the contract and grant pre-award and post-award fund administration. Uses skills as a seasoned, experienced research administrator to independently develop and / or oversee research proposals, awards and / or transactions related to contract and grant management and maintains contract and grant records in compliance with institutional research sponsor policies. Works on proposals and awards of diverse scope where analysis of data requires thorough understanding of complex regulations. Works on complex proposals and awards that may involve multiple investigators and / or multiple sub awards. Performs complex budget/resource analysis including forecasting, retrieving data from campus financial systems, organizing and validating data, and the preparation of comprehensive reports for principal management. Reviews and reconciles monthly general ledgers and payroll expenditure (DOPE) reports. Provides ad hoc financial reports and analyses to Principals Investigators (PIs), Financial Services Supervisor, FOM, Directors, Department Chair and FAO as needed. Ensures compliance with internal audit requirements and University policies for all financial activities.

Key Responsibilities

Description % Time
(DR): Analyzes transactions, expenditures, identifies and resolves discrepancies, financial and inventory reports. Prepares proposal budgets and support documents that are required by proposal guidelines.
  • Reconciles, researches and resolves discrepancies in financial data for contract and grants, departmental funds, gifts, endowments and other funding sources. Applies professional financial and accounting concepts to perform analyses of financial services such as researching discrepancies and implications. Reviews and reconciles monthly ledgers and reports for the department and interdepartmental programs. Prepares statements and financial reports as needed for PIs, Department Chair and Financial Team and independently prepares transfers as needed in a timely manner.

Responsible for fiscal closing of related contracts, grants, and other faculty and departmental funds. This also includes forecasting expenses to ensure funds are expended appropriately without incurring overdrafts. Assures adherence to UC fiscal closing guidelines as well as agency-specific guidelines
