Department Custom Scope
The Circulation Services Coordinator is responsible for the direct supervision of staff and student employees, the opening of the library facility, and overseeing and managing the functional operation of the Circulation/Reserve Services Desk primarily in the Orbach Science Library. Will organize daily workflows, provide and administer all Circulation/Reserve Desk activities and services, coordinate emergency situations with other library departments, and coordinate staffing with other UCR Library Circulation Services Coordinators. Must be able to work flexible hours for staffing in backup situations including days, evenings, and weekends. Must be able to work Monday-Friday 7:15am - 4:15pm during the academic year. This position is designated as a Mandated Reporter and will be required to complete trainings and comply with CANRA. Must pass FBI/Department of Justice background check. The budgeted hiring range for this position is $54,893.52 - $62,974.08. As a condition of employment, you will be required to comply with the University of California SARS-CoV-2 (COVID-19) Vaccination Program Policy. All Covered Individuals under the policy must provide proof of Full Vaccination or, if applicable, submit a request for Exception (based on Medical Exemption, Disability, and/or Religious Objection) or Deferral (based on pregnancy) no later than the applicable deadline. For new University of California employees, the applicable deadline is eight weeks after their first date of employment.

Access Services Public Services Duties Staffs Public Services Desk as scheduled and provides accurate and courteous service to all patrons according to Access Services Public Service Guidelines. Maintains current knowledge and performs circulation desk functions. Maintains knowledge of the policies and procedures of the UCR Library. Independently interprets and applies these policies and procedures. Uses multiple online systems to determine the status of or information on patrons or materials as well as performing a variety of circulation functions. Maintains knowledge of and performs general Access Services functions, such as processing incoming interlibrary loan material, processing incoming course reserve material, de-processing course reserve material, and assisting with paging available material, shelving, shifting and shelf reading. Operates building alarm and Public Address (PA) system and reports and correct problems associated with their use. Writes and distributes Security Reports as required.

Administration and Supervisory Duties Hires, supervises, schedules, mentors, and evaluates staff employees and student employees. Counsels and recommends on personnel action in accordance with UC policies and procedures, Library practices and procedures and union contracts. Determines work priorities and directs the work of all staff supervised, assesses staffing needs, workload changes, and accomplishments. Establishes standards for measurement of performance that are quantitative as well as qualitative in conjunction with the Unit Manager. Monitors performance and prepares evaluations that accurately and fairly represent staff performance. Coordinates General Budget Allocation usage and requests with the Unit Manager. Participates in the formation and review of Circulation/Reserve Desk policies and procedures and maintains documentation in coordination with the Unit Manager. Trains new staff on service desk functions, policies and procedures. Manages and coordinates daily service desk activities by prioritizing, organizing and delegating assignments to Circulation/Reserve Desk staff and student employees. Maintains service desk staffing schedule and resolves staffing problems by following backup staffing guidelines.

Administration and Supervisory Duties Continued Monitors and provides quality control for all Circulation/Reserve Desk services, ensuring staff provide courteous and helpful service to all patrons and that they are able to respond to and satisfy a wide variety of patron demands. Recommends changes and/or new procedures to the Unit Manager to increase efficiencies in carrying out unit responsibilities. Drafts policy statements upon request. Maintains close communication with the Unit Manager, consulting frequently about unit needs and areas of concern. Coordinates Circulation /Reserve Desk functions and staffing with other UCR Library Circulation Services Coordinators. May assist in training, staffing, and managing the functional operation of the Circulation/Reserve Services Desk at the Tomas Rivera Library Circulation/Reserve Services Desk. Attends workshops and classes on public services techniques, computer technologies, supervision and other topics for job performance enhancement. Maintains confidentiality of records as required by Library and University policy.

Technical Duties Utilizes expert knowledge of library service desk and customer service best practices, and relevant computer software and applications to coordinate and manage the efficient operation of the Circulation/Reserves Desk under the direction of the Unit Manager. Analyzes, interprets, and communicates front desk policies to library users and staff. Responds to inquiries in a timely manner. Resolves patron disputes, questions and problems exercising sound, independent judgment in making exceptions to accommodate unusual situations. Refers those outside of the scope of written policy to the Unit Manager. Consults regularly with the Unit Manager on workflow issues and public services needs to ensure appropriate service response to library patrons. Refers complex issues to the Unit Manager. Prepares statistical reports and other reports as requested. Responsible for opening and closing the library facility on scheduled days following set procedures. Serves as the primary early morning contact for other library departments, and provides assistance in solving patron, building and/or equipment problems. Interprets and applies policies and procedures consistently. Manages and maintains Public Address (PA) and voicemail announcements, as well as service desk digital signage. Performs individual or technical duties of those supervised in their absence. Serves as a member of the Library Safety Committee. Interprets and is able to carry out library and campus-wide safety/emergency policies and procedures should the need occur. Reports safety and security hazards to the Unit Manager.

General Departmental & Library Responsibilities Assures that the highest standards of ethical conduct and integrity are practiced in meeting one's responsibilities and in support of attaining unit and library goals. Assists in developing and fostering teamwork spirit among unit staff. Oversees the functional operation of the Circulation/Reserves Services Unit in the absence of the Unit Manager. Participates in unit and library meetings and committees as assigned. Monitors relevant mailing lists and other formal communications mechanisms. Maintains knowledge of current industry trends and performs continuous assessment of innovative methodologies, technologies and approaches. Identifies opportunities for improvement and communicates them to supervisor. Acts as backup staff member in emergency staffing situations. Performs other duties as assigned.
