Department Custom Scope
Under the supervision of the Director of Simulation Operations, the Simulation Operations Specialist (SOS) is expected to provide educational and technical support for all simulation events at the Center for Simulated Patient Care (CSPC). This position exists to provide technical support for all simulation center operations. This includes the preparation, operation, programming, maintenance and the repair of high-fidelity simulators, task trainers and audiovisual equipment. The SOS will also be responsible for clinical supply maintenance, contacting vendors for technical support and inventory tracking. Incumbent may be required to role-play as a simulated healthcare provider in certain simulation scenarios. In addition to operating the simulators and other simulated equipment, the SOS will provide support to the users of the CSPC, which includes administrative support and research initiatives to help further the educational mission of the CSPC. Additionally, verifying and documenting equipment use and session attendance is expected.

Key Responsibilities

Description % Time
Assists with logistics and coordination for program social events and/or educational activities, which may include recruitment; orientation; graduation; conferences; and simulation and/or other assessment activities.
  • Support the Simulation Center Operations (Virtual, Mechanical, and Standardized Patients) responsibilities: 1. Install, operate, maintain, and upkeep equipment in the Simulation Center (including but not limited to: mannequins, computers, software, and audio/visual equipment), assisting all clients of the Simulation Center, as needed, to ensure a positive learning environment and experience. 2. Coordinate, manage, maintain, and update all hardware, software, audiovisual, multimedia, and computer-based technology and equipment. 3. Serve as on-site point person for Department staff and users for all matters concerning audiovisual system and clinical education technology. 4. Prepare materials and equipment for simulation scenarios. 5. Restock rooms, assist with inventory, and clean simulation equipment following each scenario. 6. Input, manage, and update all data in system including users, checklists, cases, and scoring. 7. Other duties as assigned.

Serves as point person for learners, which may include prospective health professions education program candidates; current health professions education learners; and all other stakeholders. Answers questions and disseminates program information. Assists health professions education learners with all program-related issues and questions.
  • Interviews and assesses client requirements for instructional technology and advises on appropriate technology to meet specific instructional activities. Provides consultative advice to clients on technical, media methods, techniques and equipment in order to enhance the quality of the presentation. Advises users on basic technical options. Plans and consults regarding the installation of new equipment and equipment upgrades. Facilitate scenarios with students, staff, health care providers, and community groups as well as faculty to meet the needs of staff, students, and community groups in a collaborative manner. Assist and support faculty when using the lab for instructional use or in classrooms.

Coordinates implementation of professional health educational activities, which may include program competencies, curriculum, and exams.

Maintains program files and data, which may include individual learner files as well as program accreditation documentation in accordance with relevant regulatory and University policies.
  • Applies appropriate data collection methods to develop technical requirements for events and instruction. Assist with and develops standards, processes, and procedures to ensure consistent service delivery to clients. Assist with and develops user documentation, process improvements, or system design requirements. Coordinates special programs and projects in AV or instructional technology field, including media production, teaching with technology or web distribution. Works with a wide variety of media technologies, networks and computer hardware and software, applying appropriate solutions to non- standard problems. Act as direct liaison with technology vendors and internal technology department. Interface with vendor technical support team to resolve issues and assure quality control. Collaborate and assist with the SOM IT and campus computing department as needed.

Ensures administrative, financial and other program operations are compliant with accreditation standards, University policy, and other regulatory requirements. Prepares reports and follows up as necessary.

At the direction of program faculty and leadership, creates learner assessment documentation, including assessment tools and assessment strategies/timelines. Generates regular reports of individual and aggregate learner progress and assessment.

Assists in projecting costs, monitoring budgets, and financial tracking for health professions education programs and related activities. May process and tracks learner reimbursements. Assists program management with financial tasks related to the program.

Fosters an environment of collaboration between various health professions education specialties and programs. Participates in program and/or departmental work groups, teams, task forces and committees to support ongoing health professions education program functions.

Maintains program communication resources, which may include maintaining the program website to ensure updated information and program requirements; generating informational brochures; creating and updating program or course syllabi; assisting with journal submissions; manage program marketing and collateral production; and maintaining email and address lists.

Assists program management with operational components specific to the employment of learners which may include human resources onboarding; appointment paperwork; credentialing; managing training grants; payroll management (FTE tracking); benefits and leave advising; and Medicare reimbursement reporting.

Responds to inquiries from learners and faculty regarding educational technology and systems. Trouble shoots and triages issues. Assists in monitoring and reviewing the user experience.
