Department Custom Scope
As a member of the Graduate Division Finance Team, the Financial Services Analyst reports to the Financial Operations Manager. The incumbent is responsible for providing financial, budgetary, analytical and administrative support for the Graduate Division. The incumbent is responsible for the coordination and management of various fund types including contracts & grants, fellowships and foundation funds. Performs financial analysis by querying and analyzing data from various systems to produce reports. Completes credit card reconciliations, monthly ledger reconciliation and assists with fiscal close activities. Process deferments, subcode requests, reimbursements and serve as a liaison to the Shared Services Center for payroll related actions.

Key Responsibilities

Description % Time
Assists with ensuring that financial processing functions which may include accounts payable, accounts receivable, purchasing, recharge billing, travel/entertainment, gift accounting, cashiering and collections are performed with accuracy and that daily operations run smoothly.
  • Process credit card reconciliation for the graduate application fee with Slate and CashNet, responsible for monthly ledger reconciliation, researching discrepancies and correcting errors. Serve as liaison to Shared Services Center for payroll and HR related activities, process graduate student deferments, and subcode requests. Provide back-up to purchasing and travel functions as needed.

Prepares reports and analyses to include summaries of financial transactions, evaluation of current and proposed services, etc. for management review and decision-making.
  • Assist with management of contracts & grants, including but not limited to GAANN and NSF GRFP. Query data from various campus systems to produce expenditure reports, statement of balances, and other budget/financial spreadsheets. Track balances for UC-HSI Professional Development funds and provide guidance to fellows on the use of these funds. Prepare reports for support activities including but not limited to UC HSI Initiatives, Research Ethics, and Science 2 Policy.

Fellowship & Awards Coordinator - Provides administrative and analytical support for graduate internal and external fellowships managed by the Graduate Division, including Foundation funds. Facilitate on-line application process with graduate program advisers and staff. Assist Associate Dean with annual competition for Dissertation Year Program (DYP), Graduate Research Mentoring Program Awards (GRMP), and UC-HSI.

Applies professional financial and accounting concepts to independently perform analyses of moderately complex financial services such as researching discrepancies and tax implications and compliance with external regulations and internal policies.
  • Utilizing the UCR Financial System, process BEA?s NCT?s, FCT?s as needed for programs including but not limited to GradSuccess, Graduate Student Mentoring Program, Mentoring Summer Research Internship Program ( MSRIP), UC Leadership Excellence through Advance Degrees (UC LEADS). Process graduate student recruitment reimbursements for approx. 50 graduate programs. Assist with fiscal closing activities.
