Department Custom Scope
Under the general direction of the Acquisitions Unit Supervisor with additional work-related direction from the Metadata and Technical Services Department, the Acquisitions & E-Resources Processing Assistant performs paraprofessional duties based on general guidelines using knowledge of library principles and procedures. This position serves as lead assistant responsible for establishing resource records and initiating orders for all formats, particularly for monograph materials. This position will support the e-resources lifecycle in the library?s ILS and discovery system through e-resource processing, particularly in activation, access verification, and in supporting related licensing and usage statistics data management.

Key Responsibilities

Description % Time
Ordering for One-Time Resources (monographs, media, etc.): Responsible for pre-order searching and identifying appropriate resource and vendor for orders; identify appropriate resource records and prepare and execute orders in library?s ILS ; generate accurate monthly statistics; as needed, submit orders for cancellations and perform reordering; search and process gift materials; communicate with vendors to establish ordering processes and facilitate receipt; communicate with selectors and collection strategists for orders, cancellations, fund requirements, and related issues. Ordering for Continuation Resources (serials, databases, e-collections): Assists in e-resource, serial, and continuation ordering, particularly for non-standard e-resource packages and databases: perform pre-ordering searching and identify appropriate resource, e-collection or other records as required, prepare and execute e-resource orders and related inventory, communicate with E-Resource Management Group for orders, cancellations, renewals, and related issues. Claims / Error Resolution / Order Management: For monographs and other one-time orders: interprets the status of orders and payments in order to resolve receipt. Review items not received, generate claims with vendors/publishers; perform related data and order management work and communicate with vendors/publishers as needed. Acquisitions ordering (all frequencies & formats) includes knowledge of access models, licenses, general e-book information, including how to purchase multiple licenses via vendor applications; understanding of print and electronic DDA ordering workflows; understanding of fund management, fund sources, and Collection Strategies and Acquisitions-based policies and best practices; comfort with vendor communications and ability to update and manage vendor files in library ILS.

E-book Activation & Data Management E-Resource Activation & Related Duties: Performs copy-level cataloging based on established departmental standards for monograph e-resources. Updates bibliographic and inventory records to support link resolution, coverage information, and related e-resource data. Under departmental policies and guidelines, loads e-resource and related records into the library system through batch or automated processes. Activates and updates electronic collections and related metadata management using electronic resources policies and workflows. E-Resource Management & Related Duties: Responsible for maintaining the integrity of e-resource data through e-resource data management including (but not limited to) updating access models, updating content or access providers, updating coverage information, and link resolving. Performs other data clean-up as required. Performs other data review, clean-up and reconciliation via daily tasks or projects as required.

E-Resource Usage and Licensing Support E-Resource Usage Duties: Under departmental policies and guidelines and in consultation with Acquisitions Unit Head and Collection Strategies Department, establishes and maintains administrative credentials for vendor records in library ILS to support the harvest of usage statistics. Using ILS job reports, troubleshoots connection or credential errors to ensure access to usage statistics. Codes data in e-resources to ensure accurate e-resource usage data. Licensing Support Duties: Under departmental policies and guidelines and in consultation with Acquisitions Unit Head and Collection Strategies Department, supports the license processes by preparing and managing license-related data in the library?s ILS, including coding terms and applying licenses to e-resource inventory as assigned. Performs data-related project support for retrospective license management. May perform additional data-related projects for local and consortial licenses. Consortial Acquisitions Duties: Under Acquisitions Unit direction, processes order records for new subscriptions and ongoing renewals for consortial entitlements, recharges, and payments in library?s ILS, including linking local and consortial acquisitions data when applicable. May work with consortial e-resource data, including vendor, license, and e-resource data, in order to perform data reconciliation or to troubleshoot access.

Technical Services Duties as Assigned: Sort, distribute and route 1st class, intercampus and serials mail for Acquisitions Unit, Metadata and Technical Services Department, and Preservation; check unit/group e-mail accounts and distribute messages to appropriate staff for action or to file; assist with record maintenance, and special projects as needed for Acquisitions or Metadata and Technical Services.
