Department Custom Scope
Under the direction of the Collection Maintenance Manager, the Collection Logistics Coordinator will perform and supervise daily Collection Logistics workflow functions, provide public service, work collaboratively to develop best practices and participate in projects and committees to further streamline and enhance the work of the Collection Strategists and collaborate with Collection Maintenance staff on collection accession and deaccession projects. Assists with the supervision, training, evaluating, and hiring of Collection Maintenance student employees as designated. Oversees all student work and workflow for library-wide projects such as the Google books project and large-scale shifting projects. Responsible for adhering to external library storage requirements for the University of California (UCR) library materials. |

Maintains current knowledge of all Collection Logistics procedures and policies. Analyzes lists from system-wide shared print projects such as Journal Archiving campaign (JACS) and Western Regional Storage Trust (WEST) and compares them with physical holdings on shelves for usage, on loan items, or other anomalies. Distribute revised lists to Collection Strategists for final decisions on each individual title or volume/issue, as applicable. Conducts comprehensive searching of lists, catalogs, and requests from faculty members against library holdings and forwards to Collection Strategists for final review and decisions. Coordinates collection reviews for all subjects and formats, such as receiving/organizing/cleaning up data of the call number ranges under review. Maintains and processes statistics for routine and special projects. Coordinates removal of physical items from the shelves and processing items for storage. Coordinates the transportation of material to University of California and non-UC facilities. Coordinates campus and local pickup and review of collections that are being donated to the library or being reviewed for donation to the library. Maintains donor files. Utilizes the ILMS to search for duplicates, prepares donor gift acknowledgement letters and prepares gifts for Better World Books/Southern Regional Library Facility (SRLF) shelving. Orders all office supplies for the Collection Strategies department. Follows collaboratively developed workflows regarding items needing routing for bibliographic record changes, preservation repair or treatment, and processing needs. May be required to perform work at all UCR campus libraries. | 60 |
Will serve as backup and/or assist in the supervision, hiring and training of Collection Maintenance student employees as needed. Updates and creates Collection Logistics student procedures as needed. Oversee Collection Logistics student employee workflow and identifies student training needs. Uses established procedures to monitor the accuracy of Collection Maintenance student assistants' work and checks for completion of assignments. Recommends new procedures and/or improvements to Collection Maintenance procedures as needed. | 20 |
Participates and assists in planning unit projects such as collection measurement, record clean-ups, and shifting in coordination with the Collection Maintenance Manager. Oversees all student work and workflows for the Google scanning project, including pulling items, checking for item records and errors, shipments to/from Google, de-processing and re-shelving items after scanning. Participates in the Collection Maintenance search process for missing items. Participates in staff meetings and committees. Special projects may be assigned. | 15 |
