Department Custom Scope
The Evening Services Coordinator is responsible for the direct supervision of staff and the monitoring of student employees, the preparation and processing of library bills, and providing assistance and administering public service functions and transactions to patrons at a UCR Library Circulation/Reserve Desk. Will be responsible for opening or closing the library facility, monitoring all Circulation/Reserve Desk operations, coordinating and resolving emergency situations with Library Security Services, and overseeing and managing the functional operation of the library in the evenings and on Sundays. Must be able to work Sunday-Thursday 3:15pm-12:15am during the academic year. Hours may vary based on business needs, finals week, summer, and intersession periods. Must be able to work flexible hours for staffing in back up situations, including days, evenings, weekends, and holidays. This position is designated as a Mandated Reporter and will be required to complete trainings and comply with CANRA. Must pass FBI / Department of Justice background check.

Key Responsibilities

Description % Time
Access Services Public Service Duties Responsible for opening and closing the library facility on scheduled days following set procedures. Responsible for the building and its occupants, monitors all Circulation/Reserve Desk operations, and supervises student assistants in the absence of a supervisor. Staffs Public Services Desks as scheduled and provides accurate and courteous service to all patrons according to Access Services Public Service Guidelines. Maintains current knowledge and performs circulation desk functions. May be scheduled to cover a service desk at another UCR Library. Maintains knowledge of the policies and procedures of the UCR Library. Independently interprets and applies these policies and procedures. Uses multiple online systems to determine the status of or information on patrons or materials, as well as performing a variety of circulation functions. Maintains current knowledge of and performs general Access Services functions, such as processing incoming interlibrary loan material, processing incoming course reserve material, deprocessing course reserve material, and assisting with paging material, shelving, shifting and shelf reading. Operates building alarm and Public Address (PA) system and reports and corrects problems associated with their use. Logs Access Services statistics on appropriate forms. Writes and distributes Security Report Forms.

Administration and Supervisory Duties Hires, supervises, schedules, and evaluates staff employee. Counsels and recommends on personnel action in accordance with UC policies and procedures, Library practices and procedures, and union contracts. Monitors student employees in the performance and completion of assigned duties. Consults frequently with the Circulation Services Coordinator and Unit Manager on student concerns. Directs the work of all staff supervised, as well as evening student assistants. Establishes standards for measurement of performance that are quantitative as well as qualitative in conjunction with the Unit Manager. Monitors performance and prepares evaluations that accurately and fairly represent staff performance. May assist in training new staff on service desk functions, policies and procedures. Ensures evening staff provide courteous and helpful service to all patrons and that they are able to respond to and satisfy a wide variety of patron demands. Resolves patron disputes, questions, and problems exercising sound, independent judgment in making exceptions to accommodate unusual situations. Refers those outside of the scope of written policy to the Unit Manager. Maintains confidentiality of records as required by Library and University policy.

Technical and Individual Duties Utilizes expert knowledge of library billing and customer service best practices, and relevant computer software and applications, to coordinate and manage the efficient operation of library billing services, under the direction of the Unit Manager. Generates billing analytics and reports, and processes adjustments and blocks through Alma in an expedient manner. Acts as billing resource and performs billing activities for all UCR Library locations. Analyzes, interprets, and communicates billing policies to library users and staff. Provides guidance to users with the use of the Online Payment System. Reviews payments and processes fines/fees as needed, and executes manual invoicing using third party payment processor for designated user groups and specialized circumstances. Resolves billing problems with patrons and within Alma by applying appropriate written guidelines in determining solutions and implementation procedures. Resolves issues with Student Business Services Office and Library Budget and Finance, when necessary. Maintains detailed understanding of Banner and Alma procedures as they relate to library billing functions. Develops, recommends, and implements billing policies, procedures, and operations in consultation with Unit Manager. Approves or denies billing appeals. Provides background information and refers appeals that fall outside of guidelines to the Unit Manager. Organizes and maintains all billing files. Responsible for the review and purging of all Banner bills following established procedures and retention guidelines. Maintains documentation for audit trail; manages Office of Record for library invoices. Prepares statistical reports and other reports as requested. Performs individual or technical duties of those supervised in their absence.

Administration and Supervisory Duties Cont'd Represents the Unit to the public. Recommends changes and/or new procedures to Unit Manager that makes more efficient use of department and unit resources in carrying out unit responsibilities. Drafts policy statements upon request. Serves as the primary evening and Sunday contact for other library departments, and provides assistance in solving patron, building and/or equipment problems. Interprets and applies policies and procedures consistently. Independently assesses and responds to a variety of serious and complex security and safety issues in accordance with library and departmental procedures. Uses judgment to resolve issues falling outside of established procedures. Maintains close communication with the Unit Manager, consulting frequently about evening needs and areas of concern. Handles staffing problems by following backup staffing guidelines. Manages and coordinates dally evening and billing activities by prioritizing, organizing and delegating assignments to staff and student employees. Coordinates billing functions and evening staffing or facilities issues with other Evening Services Coordinators. Monitors and provides quality control for all billing functions, including all bills processed in Banner. May assist in training, staffing, or billing at other services desks. Attends workshops and classes on public services techniques, computer technologies, supervision and other topics for job performance enhancement.

General Departmental and Library Responsibilities Assures that the highest standards of ethical conduct and integrity are practiced in meeting one's responsibilities and in support of attaining unit and library goals. Assists in developing and fostering teamwork spirit among unit staff. Oversees the functional operations of the Circulation/Reserves Services Unit in the absence of the Unit Manager and Circulation Services Coordinator. Participates in unit and library meetings and committees as assigned. Monitors relevant electronic mailing lists and other formal communication mechanisms. Maintains knowledge of current industry trends and performs continuous assessments of innovative methodologies, technologies and approaches. Identifies opportunities for improvement and communicates them to supervisor. Functions, in conjunction with Security Services, as the coordinator and contact for emergency situations. Uses judgement to resolve those situations falling outside of established procedures. Acts as backup staff member in emergency staffing situations. Performs other duties as assigned.
