Department Custom Scope
As a member of the Division of Medical Education (ME) and under the general supervision of the FAO, the Financial Operations Manager will provide financial management and operational support to Undergraduate Medical Education (UME), Student Affairs (SA), and Pathway Programs. This position will provide high-level financial and analytical support to the FAO and Senior Associate Deans, which requires tact, diplomacy, and discretion on a wide variety of complex and sensitive issues. The Operations Manager will serve as a key resource and primary point of contact for the units, department, FAO, Sr. Associate Deans, Faculty and staff.

  • The Financial Operations Manager uses skills as a seasoned and experienced administrative operations professional to manage, plan and administer the operations of a mid-sized academic department. Provides oversight for financial management, financial reporting, human resources, procurement and travel. Responsible for initiating HR actions for academic personnel, faculty, staff an students. Responsible for performance management of direct reports and the organization of work, supervision of administrative staff, and process improvement. Represent and participate in meetings on behalf of UME/SA in FAO's absence.

Provides analytical support for complex budget, financial, or resource analysis projects.
  • In conjunction with the unit Finance & Administrative Officer (FAO), the incumbent is responsible for the annual budget preparation, presentation and submission for Student Affairs/Pathway Programs and Undergraduate Medical Education (UME). Responsible for oversight of the Student Affairs/Pathway Programs and UME budget management. Serve as the primary reviewer and approver for all Student Affairs/Pathway Programs and UME requests and financial transactions to ensure accuracy and adherence to policy. Responsible for ensuring funding availability for all requests that are approved. This position will provide financial analysis, reconciliation and reporting to the FAO. Responsible for monthly budget reporting and ledger reconciliation review. Responsible for fiscal year-end closure and ensure that processes and procedures are completed within SA/Pathway Programs/UME. Responsible for oversight and management of the Sales & Services operations in Pathway Program and SA. Serves as the back up for the UME Lead Analyst for all Sales & Service activities within UME.

Ensures that the appropriate internal controls are addressed, maintained and strengthened to protect University resources.
  • Responsible for creating policies and internal controls for Student Affairs (SA)/Pathway Programs & Undergraduate Medical Education (UME) to mitigate risk. Focus on student interest groups, student led activates to ensure compliance and adherence to policy. Responsible for creating standard operating procedures for the units. Incumbent is also responsible for providing training for staff and students around internal policies and procedures. Will act as liaison with the School of Medicine Compliance office and campus Risk Management. Responsible for keeping abreast of campus and SOM specific policies and procedures and disseminating relevant information to faculty and staff. This position will assist with the creation of reporting tools and communication to support the units within the Departments. Participate in planning and making significant contributions to short and long-term goals of the Department in conjunction with the Department FAO and Sr. Associate Deans.

Provides department support in the areas of business process analysis and design, system or procedure testing and implementation, documentation, security, workflow, and customer feedback.
  • Serve as primary lead for consultation and guidance to departments regarding policy, procurement, reimbursements, and travel. Makes recommendations for best outcome. Responsible for conducting review and approval for all revenue received via CCR&RS.

Performs complex financial or resource research and studies for a variety of internal department constituents.
  • Maintain, extract, analyze, interpret, and report on data from sensitive and confidential information. Responsible for communicating discrepancies or errors as needed to the appropriate party and providing recommendations for solutions. Demonstrates good judgement in communication methods and techniques for obtaining solutions and identifies preventative measures to hinder reoccurrence. Responsible for carrying out corrective actions and ensuring corrective action is processed in a timely manner. Responsible for providing oversight and guidance to the PI regarding Contract and Grant (SRP) award funding management. Act as liaison with School of Medicine Dean's Office, SRP, and Business Operations.

Coordinates and implements department budget allocations, conceives of and maintains department chart of accounts or other data management tools, and related business processes.

Gathers information, analyzes, prepares and summarizes recommendations for financial and/or resource plans, including annual resource allocation approaches, trended future requirements, operating forecasts, sources and uses, etc. Examples include generating, modifying, and conceiving of new financial or other resource reports, or analyzing and forecasting staff/faculty salary budgets, contracts, grants, gifts, endowments, or user fees.
  • Perform ad-hoc analysis and reporting as requests.
