Department Custom Scope
The International Student Specialist is available to students and the campus community to interpret, and explain University policies and regulations. The incumbent is responsible for reviewing prospective students' financial records and other pertinent documents to determine students' eligibility to obtain a student visa and to attend UCR. Works in the Student and Exchange Visitor Information System (SEVIS) and acts as a Designated School Official (DSO) and Alternate Responsible Officer (ARO) in issuing and administering required U.S. government documents to international students; serves as primary contact for admitted international students, answers incoming calls and email correspondence from international students seeking information about the university and the status of their 1-20 and DS-2019; offers information and advice about international student services and programs, schedules appointments for in-depth advising, and makes referrals to other appropriate offices as needed. Provides information and interpretation of clearly defined policies, procedures, and regulations. Receives direction regarding more complex issues and/or program(s). Utilizing knowledge of federal regulations concerning international students; assists with campus compliance by updating international student records with required information gathered from various sources and entering important details into electronic databases. Updates international student information in the International Student & Scholar Management System (ISSM), in graduate and undergraduate SLATE (CRM) databases, and in Banner with attention to detail and complete accuracy.

Key Responsibilities

Description % Time
Provides basic information about moderately complex student immigration and visa processes to international students and scholars . Assists with preparation of student immigration and visa files.
  • Responsible for matters relating to initial I-20's and DS-2019's. Processes requests for Certificates of Eligibility (I-20/DS-2019's) from international undergraduate, graduate and non-degree students in compliance with federal regulations. Analyzes and interprets biographical, financial, and immigration-related data to facilitate the issuance of these documents. Communicates with admitted, re-admitted, deferred, and remote start students to obtain missing, incomplete, or updated data and coordinates the mailing (electronic or otherwise) of student I-20's/DS-2019's and related documents. As a Designated School Official (DSO) and Alternate Responsible Officer (ARO), remains up to date with anticipated changes in governmental rules and regulations related to studying while in the USA, such as visa issuance, immigration status, travel requirements/restrictions, and transfer procedures. Processes requests for SSN verifications, travel signatures, transfers, program extensions, etc. as needed.

Completes the required data entry for each admitted student in the Ellucian International Student and Scholar Management database (ISSM), the Student and Exchange Visitor Information System (SEVIS), the Higher Education CRM SLATE, and Banner, ensuring 100% accuracy. Monitors admitted international freshmen, transfer, graduate, and non-degree students in SEVIS and ISSM to ensure timely submission of documents and activation/validation of records to meet federal compliance deadlines. Uploads documents into ISSM and assists with new student registration. Makes changes/updates to maintain accurate SEVIS, ISSM, SLATE, and BANNER records. Assists with the periodical reconciliation of paper files, electronic files, and records in ISSM and SEVIS. Investigates and resolves discrepancies. Helps produce a variety of reports and investigates data discrepancies to ensure data integrity and adherence to compliance requirements. Collaborates with departmental administrators to maintain accurate data on the international student population.

Applies professional Student Services concepts in providing a variety of student services to the student population served by the organization, and to faculty and management within that organization.
  • Provides preliminary information to international students and other related parties during their first contact with the department. Assists with the general intake of new students on the phone, in-person, or via email and provides critical information for joint-advising to campus colleagues in a timely manner. Responds in a timely manner to requests for assistance and inquiries from incoming students, faculty, staff, and the general public regarding new student arrival, orientation, campus policies, procedures, and protocols in dealing with federal regulations governing the admissions, full-time study, and travel of international students. Assists with content development for new student communication pieces and participates in yield events, pre-arrival webinars, and new student orientations.
