UCR ARTS is made of up the California Museum of Photography and the Culver Center of the Performing Arts which includes the Sweeney Art Gallery. The California Museum of Photography has more than 500,000 photographs and photographic artifacts and apparatus. This collection serves to promote understanding of photography and visual media by providing access and context to one of the largest and most comprehensive photographic resources in America. The Museum contains four inter-linked collections, Bingham Technology Collection, Keystone-Mast Collection, University Print Collection, and the Study Center Library Collection. Of these, the Bingham Technology Collection holds over 10,000 items, the second largest camera collection in America, while the Keystone-Mast Collection is the worlds largest collection of over 400,000 original stereoscopic prints and original glass negatives. Collection projects have regularly been funded by NEA, NEH, corporations and foundations. This position will report to the Collections Manager. The Registrar will perform registration functions as assigned related to the permanent collection, loans, and temporary exhibitions. This may include coordinating packing, making domestic and international shipping arrangements, and preparing condition reports. Must be detail-oriented with excellent organizational and communication skills (both oral and written). Must be able to multitask and work well under pressure and with frequent deadlines. Will manage confidential information in a discreet and professional manner. Computer experience with Windows Office applications and museum collection management databases (preferably Zetcom) required. B.A. degree, preferably in Art History or related field required, plus one (1) year of museum experience, or an equivalent combination of education and experience. Ability to work evening and weekends as required. The full salary range for the Museum Registrar is $27.09 - $43.58 per hour. However, the expected pay scale for this position is $27.09 - $33.67 per hour. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs.

Key Responsibilities

Description % Time
Documentation Maintains database records for all objects owned by the Museum, on extended loan, and on temporary loan for exhibitions. Maintains objects temporarily utilized by staff and visitors. Maintains objects in predetermined locations in storage. Prepares insurance reports for campus Risk Management department.

Database Creates and maintains paper and digital records of loaned and accessioned objects in the collection management database. Input and update records with information relating to loan transactions and exhibitions. Maintains database documentation of all incoming museum objects, new acquisitions and short-term loans; prepares accession records for permanent acquisitions; maintains registration of gift and loan records, including correspondence.

Exhibitions Assists with exhibitions including coordination of installation schedule, working with curators, preparators, security, and couriers.

Staff Coordination Assists in the supervision of interns, volunteers, researchers, and contract workers at the request of the Collections Manager.

Environment Monitors environmental conditions, including temperature, relative humidity and light levels in art vaults and galleries. Maintains room security, storage conditions and environmental conditions.

Shipping Obtains quotes, and arranges the shipping of works of art via carriers and transportation methods that are in compliance with the UC's fine arts insurance policy. Assists in the packing, unpacking, crating, uncrating, loading, unloading and storage of works of art. Act as courier for museum as needed.

Condition Reporting Records the condition, receipt, shipment and location of all works of art both inside and outside the Museum. Generates paperwork relating to object movement including loan contracts, receipts, and movement reports.
