Department Custom Scope
Under general supervision, this position will be responsible for the administrative role and reception duties for the education II building. Incumbent will greet customers and keep track of a visitor log, announce appointments, update digital signage with classroom schedules and event information and maintain student workers. Duties to include shipping / receiving and mailroom organization of lobby. This position will also maintain the mailroom and supervise student workers. Duties to include shipping /receiving and mailroom management, distribution delivery and pick up service. Follow up on orders invoices along with other assign duties. Serves as a resource to visitors to the SOM Education Building II. This position is responsible for all duties associated with coverage of the receptionist desk, including answering telephones, screening and directing calls as appropriate, and responding to a wide variety of inquiries and questions from the public and campus community. Responsible for distributing mail, copying, faxing, and filing as needed. This position is responsible for maintaining phone lists and oversees Fed-Ex and other carrier shipments. |

Responds to requests and questions from members of the community, industry, international visitors and the University community, requiring a clear understanding of the building operation. Shipping, Receiving & Mailroom Management Shipping / Receiving & Mailroom Management Responsible for supervision of the School of Medicine (SOM) Education Building II Shipping - Receiving - Mailroom, including handling all receiving of deliveries and coordinating the delivery of the goods to the various offices within the School of Medicine. Prepares outgoing shipments, including hazardous material shipping. Prepare for distribution: Sort mail for delivery on assigned routes within designated schedules; Log and deliver packages to various offices for the SOM. Miscellaneous Duties Assist SOM Facilities Manager with various duties in order to meet deadlines on special projects as necessary. Oversight of SOM Education Building II recycling. Assuring that recyclables are picked up promptly. Office supplies - Maintain office supplies for the SOM Education Building II mail room. Process and/or review on-line Storehouse requests for SOM users. Oversees shared copy room printers, ordering supplies and scheduling maintenance for printers. Key Custodian - Distribute keys to employees and visitors according to departmental guidelines. Maintain an inventory of keys and update the key database. Supervision of Mailroom Students Supervision of SOM Education Building II mailroom student employees including hiring, selection, training and evaluation. Coordinate quarterly schedules for student employees working in SOM Education Building II mailroom.
