Department Custom Scope
The Events Specialist for the Department of Dance at UCR will be responsible for independent planning, development, and execution of all events, performances, and productions for the Dance Department including undergraduate and graduate research driven productions, faculty-initiated conferences, colloquium, guest artist talks, presentations, and performances, as well as other various other department events and performances. This position will lead and oversee all administrative and logistical coordination relating to each Dance Event and Production. This position will also maintain access, scheduling, and key control for the shared rehearsal spaces within the Department of Dance. The Dance Events Specialist will work as a liaison with the Performing Arts Administration (PAA) staff for transaction support. This individual will also work as a liaison between Dance Faculty, the Department Chair, and PAA to ensure all budgetary, policy, procedures, and safety requirements are met. This position will also have a dotted line reporting to the Financial Administrative Officer (FAO) in PAA for all purchase order responsibilities. The full salary range for the Events Specialist III is $64,300.00 - $114,300.00 annually. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs.

Key Responsibilities

Description % Time
Consults with clients on all details regarding events and event planning.
  • Coordinates performance calendars with UCR Police Dept, Campus Fire Marshall and Environmental Health & Safety (EH&S). This position also arranges and supervises logistical arrangements (e.g., facilities scheduling, catering, parking, audio-visual needs, tables/chair set-up, stage set-up, and cleanup); resolves problems during events. Oversees training and scheduling of work crews, crowd management and audience management staff. Inspects equipment/facilities for proper safety of operations and adherence to fire regulations. Ensures all applicable UC policies and procedures are adhered to for each event. Maintains key control access to all locked spaces. Manages logistical needs including providing signage, invites, wifi passwords, etc. Also includes creation and management of advertising of events on the department website using Wordpress.

Ensures smooth-running, effective events, including successfully recognizing and resolving potential and real problems in a timely manner using tact, sensitivity, discretion and political acumen.
  • The Events Specialist is responsible for all stages of the event process, from the initial contact with the client through the successful conclusion of assigned events, to include planning, organizing, coordinating and facilitating all events within the Dance Department. This responsibility includes obtaining contracts, performance agreements, royalties and agreements for all dance productions and events. Includes generating purchase orders, performance agreements, photography agreements, etc. Also includes managing logistical needs for performers/guest visitors for production and department events, including travel, catering, and technical performance needs. Also includes processing of Visa request for international guests relating to all applicable Dance productions.

Determines and coordinates staffing needs.
  • Hires, trains and assigns work for limited/part time staff for the Department of Dance. Conducts performance evaluations, provides counseling for disciplinary problems (if required) and recommends corrective action in order to maintain effective staffing and production level.

Develops and implements event budgets.
  • This position helps manage event budgets in relation to the department's overall budget. Works with Faculty and Department Chair to monitor budgets for individual Faculty Research curricular events and projects, graduate student events, and Department wide events and activities. Regularly communicates curricular event budget updates with faculty and Department Chair. Provides regular financial reports to Faculty and Department Chair for transparency regarding curricular event and production budgets and expenditures in relation to department's overall budget. Provides curricular and event financial updates and reports.

Attends technical/dress rehearsals as well as productions as needed, to ensure Dance related Events and Productions run smoothly. Attends all department staff and production meetings.
