Department Custom Scope
The Human Resources (HR) Generalist in the University Library supports the HR function under the supervision of the Academic Personnel/Human Resources Director. The HR Generalist is responsible for a variety of human resources duties with a focus on candidate screening/engagement, data gathering and analysis, payroll, leave administration, benefits, training and development, and onboarding/offboarding. The incumbent gathers, distributes and analyzes human resources data in support of human resources initiatives throughout the organization. The HR Generalist will support the goals and priorities of the organization ensuring proactive implementation of programs and services related to talent acquisition. The HR Generalist collaborates with colleagues, with supported clients, and with all levels of staff, and students across campus to optimize the staffing process and support the on-boarding of new employees, which includes creating/maintaining relevant and required documents. This position requires outstanding interpersonal skills and exceptional oral and written communication skills in order to provide the highest quality customer service. The HR Generalist will handle scheduling interviews and coordinating recruitments to ensure the timely and efficient processing of all necessary information and paperwork while maintaining the strictest confidentiality.

Key Responsibilities

Description % Time
Performs daily administration of human resources functions: onboarding and offboarding, payroll, wage implementation, and time reporting. Maintains and develops Library HR materials, trainings, web pages, and organizational charts. Submits/review payroll transactions, time reporting, and payroll roster for accuracy. Resolves and escalates payroll, leaves, and benefit cases to appropriate personnel in a timely manner. Manages and submits annual reports, certifications, and mandated postings. Ensures staff, academics, and students comply with mandated trainings. Ensures Federal Work-Study funding is processed and applied correctly. Drafts and provides timely communications to staff, academics and student employees on updated policies and wage implementations. Provides support and training for various applications (I.E. iRecruit, HRMS, TARS, Handshake, UCPath etc). Audits and maintains personnel files and records. Performs other duties as assigned.

Provides guidance to supervisors and managers in developing job descriptions, facilitating benefits communications, and providing guidance on compensation programs, personnel policies, and procedures.
  • Provides consultation and support to search committees for select recruitments. Works with hiring managers to ensure equity and fairness in the search process. Assists with the on-boarding process of new employees well beyond the hiring date to ensure candidates receive a consistent onboarding experience.

Manages sensitive and confidential information and effectively and collaboratively interacts with client groups.
  • Assists in the annual performance management and academic review according to established policies and procedures. Provides and assists in the leave administration process for staff, academic and student positions.

Under general supervision screens resumes and applications and interviews applicants for entry level staff positions.
  • As needed may screen resumes and applications and sit on interview committees. Initiates recruitments and coordinates recruitments with AP/HR Director and the department hiring manager. Develops the recruitment plans, provides administrative support, and recommendations for sourcing and advertising of positions. Serves as an Affirmative Action Compliance Liaison on search committees.

Under general supervision provides advice and counsel to client groups according to established human resources policies and procedures.
  • Participates and serves on assigned Library committees.

Applies professional HR concepts when counseling employees concerning work-related issues of moderate scope and complexity and conducts termination interviews.
  • May perform intake only of these issues and provide necessary information to the AP/HR Director.

Conducts HR trends analyses and helps develop resulting recommendations.
