Department Custom Scope
The assistant director of scholarship & endowment administration is responsible for ensuring that university endowed funds are properly administered according to guidelines, recipient expectations, and donor intent. Additionally, they are responsible for partnering with Alumni Engagement colleagues in the direction of the comprehensive UCR Alumni Association scholarship program to advance University Advancement objectives in support of UCR. This position, in collaboration with the director of stewardship and donor relations, must implement and streamline current processes, and identify, conceptualize, plan, and implement new programs that strengthen relationships and help to build a culture of philanthropy through engagement. They must develop and implement strategic plans and processes that grow and strengthen the impact of the University of California, Riverside's scholarship and endowment programs.

Key Responsibilities

Description % Time
Develops and implements all aspects of complex endowment administration programs, projects, and events as they pertain to endowment spending, tracking and reporting. Manage relationships with cross functional partners in Business and Financial Services, Development, Financial Aid, and various representatives of campus colleges/schools whereby setting standards for dissemination and accountability of donor funds, and ensuring all named funds are being administered according to donor intent, program guidelines, and processes. Collaborate with campus partners to effectively and efficiently build the visibility and impact of endowment administration programs as they relate to University Advancement and UCR goals. Assists director of stewardship and donor relations with stewardship tracking and reporting for endowed funds and awards. Based on research and informational updates, helps maintain data for existing and future endowed funds (current recipients, donor information, fund history, purpose and guidelines, UCR contact, etc.); using existing database systems, tracks all reporting requirements and stewardship responsibilities. Partner with the director of stewardship and donor relations to oversee and manage endowment and scholarships donor reporting needs. Keep abreast of current best practices in the Advancement profession and evaluate new and emerging ideas for potential implementation. Oversee all scholarship communications and messaging including the implementation of the newly acquired scholarship management program, ScholarshipUniverse, digital and print media, monitoring trends in scholars' needs and concerns, and responding appropriately in consultation with director of stewardship and donor relations. Manage relationships with campus partners for a comprehensive understanding of campus climate.

Develops and implements programs, events and/or communication strategies designed to inform alumni and other key constituencies of institutional programs, activities, policies, and practices; constituencies may include the general public, prospective students, students, alumni, parents, donors, campus visitors, government and/or community representatives,.
  • Partner with the Director of Parent and Student Engagement to manage the UCR Alumni Association Scholarship Program, which includes the administration of Alumni Association scholarships and all other scholarships administered by Alumni Engagement. Utilizing the newly acquired scholarship management program, ScholarshipUniverse, work closely with Foundation Accounting and Financial Aid to ensure opportunities are advertised and awarded annually. Assist Alumni Engagement in their support of the UCRAA Board of Directors and Alumni Association affinity-based Chapters/Networks with their scholarship selection processes. Serve as primary liaison to scholarship recipients, coordinating student participation in key stewardship events and other activities designed to support University Advancement goals. Oversee all scholarship communications and messaging including the implementation of ScholarshipUniverse, digital and print media, monitoring trends in scholars' needs and concerns, and responding appropriately in consultation with director of stewardship and donor relations. Manage relationships with campus partners for a comprehensive understanding of campus climate.

May research various topics and gather relevant data to inform unit strategic plans, keeping management informed as necessary and providing input as required.
  • Analyze data to demonstrate and track the effectiveness of UCR endowment administration and scholarship programs, and identify efficiencies and opportunities for improvement. Survey endowed fund establishing donors, campus administrators, and scholarship recipients to strengthen engagement opportunities with University Advancement/UCR.

Responds to constituent inquiries.
  • Respond to inquiries from various constituencies regarding UCR's endowment administration and scholarships programs. Research projects and implement programs in consultation with the director of stewardship & donor relations.
