Position Purpose

Under the general direction of the Head of Access Services, the Collection Maintenance Unit Head manages the Collection Maintenance Unit at the University Libraries, a collection of approximately 2 million physical volumes in multiple library buildings. This position manages and supervises 2 Library Assistants and approximately 18-30 student employees. The incumbent advises on unit and library-wide issues including policies, priorities, procedures, organizational structure, budget, and staffing.

Monitors and provides quality control for all Collection Maintenance functions, including shelving, searching, shelf reading, shifting, inventory and regular planned space measurement in order to assure stacks are maintained in call number order.

Manages and coordinates the daily activities of the Collection Maintenance Unit by prioritizing, organizing and delegating assignments to unit personnel.

Assists Collection Maintenance Unit career staff and student assistants by answering questions as questions arise.

Administers new methods and procedures for Collection Maintenance functions including shelving, shelf reading, in-house use, searching and inventory.

Plans, coordinates and executes special projects such as book moves or shifts of material within the Rivera Library and Orbach Science Library stacks, assisting with physical activities as necessary. Assist other departments/units such as Reference, Periodicals and Water Resources Collections and Archives (WRCA) with book shifts and moves.

Carries out regular space and stacks evaluation and measurement projects to anticipate, do projections and design shifting projects to assure excellent space management.

Collaborates with other units and departments within the UCR Libraries, such as the Collection Development, Preservation, Reference and Cataloging, to weed lost items, search for missing items to be re-cataloged, pull items identified for transfer to storage facility or any special requests.

Serves as the Access Services Department contact for all stack related inquiries (staff and library users), including shelving conditions, shelf-reading recommendations, SRLF selections and areas in need of shifting.

Gathers and prepares the statistics for the Collection Maintenance Unit monthly. As requested, gathers and submits statistics reflecting use of collections for special projects.

Actively participates in library projects associated with the preservation of library materials by learning current preservation techniques and carrying out measures designed to preserve the collection, in accordance with the Libraries' preservation guidelines and programs.

Maintains accurate range markers on shelving throughout the assigned libraries in accordance with the signage guidelines of the University Libraries.

Recommends equipment purchases needed to assist Collection Maintenance in the performance of its duties.

Collaborates with librarians teaching classes to assure designated materials are available.

Communicates effectively with Supervisor and staff in the Collection Maintenance Unit as well as other administrative Heads and other staff as needed.

Hires, trains, supervises, administers corrective action, and schedules Collection Maintenance staff and student employees.

Administers annual budget for student staffing in Collection Maintenance.

Creates and maintains training and procedure manuals for staff and student employees.

Ensures provisioning for staff training and development.

Creates a system for constant and consistent communication between staff members in two library buildings to ensure accurate transmission of standards and expectations.
General Departmental and Library Responsibilities 15
Assigned to a public service desk one hour per day.

May assist with additional public service responsibilities during peak periods or as needed due to staff shortages in the Access Services Department.

May serve as a Building Emergency Staff (BES). Interprets and is capable of carrying out library and campus-wide safety/emergency policies and procedures.

Represents the Access Services Department in meetings and on committees.

Responsible for the safety of patrons and security of building in absence of other supervisors.

Uses independent judgment to resolve problems or complaints and maintains confidentiality as required by library and university policy.

Monitors relevant electronic mailing lists, departmental blog and other formal communication mechanisms.

Performs special duties, tasks or projects as assigned.

The University of California, Riverside Libraries welcomes applicants for the position of Head of Collection Maintenance. The UCR Libraries is comprised of the Tomas Rivera Library, the Raymond L. Orbach Science Library, the Music Library, and the Multimedia Library. The Libraries serve the research and teaching needs of the campus and also serve the community as the regional research library for the Inland Empire. We are a member of the Association of Research Libraries and part of the consortium of University of California Libraries that supports and receives benefit from the California Digital Library. We are seeking an experienced professional to join our team and assist with managing the Collection Maintenance Unit for the Tomas Rivera Library and Raymond L. Orbach Science Library. We are looking to hire a knowledgeable, customer friendly, team player to provide support within the organization for the management of staff and student employees. We are looking for a person with the skill to manage collections, budgets and lead major projects, including strong experience using spreadsheet, word processing and database programs. Hired applicant must successfully pass a background check through the Department of Justice.

Excellent verbal and written communication skills sufficient to communicate effectively in person, via email, over the telephone.

Typing skills sufficient to enter data accurately.
