Position Purpose

Under the general direction of the Student Affairs Manager for the Bourns College of Engineering (BCoE), the Academic Advisor I or II position supports the BCoE and its departments in guiding students toward higher levels of academic success. The Academic Advisor I fulfills this responsibility by mentoring and advising students on academic and career matters to encourage professional development and enhance pursuit of academic goals.

Academic Advisors assist students in the development of meaningful educational plans; promote student intellectual and personal development; discuss and clarify educational, career and life goals; help students to acquire relevant information and services; interpret institutional, general education, and major requirements; evaluate and monitor student academic progress, course choice, and class schedule in context of student's life and career goals.

Academic advisors engage in the evaluation of student diagnostic exams related to learning styles, career goals and academic stressors; partner with campus student support centers regarding internships and supplemental instruction; analyze student information system data to better understand the academic challenges faced by their particular student populations.

Academic Advisors perform advising duties that are based on theories and knowledge of teaching, learning and human development, reflect developmental and demographic profiles of the student population, and respond to the needs of individuals, special populations, and communities

As an Academic Advisor I, the successful candidate must demonstrate potential to effectively advise students from different majors and develop programs and/or resources to support student success. The successful candidate will bring to the position a sense of fresh ideas, creative approaches and ability to execute.

As an Academic Advisor II, the candidate must demonstrate skill in effectively advising a caseload of current students from a variety of majors. The candidate must also demonstrate skill in developing services which support student success.

Under general supervision, incumbents provide fundamental academic advising support, primarily helping students acquire relevant information and services. Under closer supervision, incumbents advise students on the full range of issues related to academic, career and life goals. Additionally, incumbents participate in the development of resolution recommendations for faculty on a variety of academic advising matters.

Individual Academic Advising:

Advise current students on course selection considering each student's academic performance and degree objective; monitor student's academic performance, the factors influencing performance, and use available information to make effective advising decisions; guide students in the use of available resources to enhance self-sufficiency and self-direction; develop rapport with College and Campus service providers, and refer students to services as deemed appropriate; assist students in navigating academic policies and regulations; interpret and clarify undergraduate degree requirements, courses and prerequisites; evaluate transcripts and records to account for course equivalency between institutions, academic credit earned and requirements satisfied; offer consultation to college and department faculty on student concerns, academic matters and petitions to policy; maintain accurate student records, files, and managing a filing system.

Electronic Advising:

Use email in a professional manner to cultivate an inviting atmosphere, develop rapport, and communicate time-sensitive information to individuals and groups of students. Respond to student concerns in a timely manner via email, offer sound advice, and guide students in the use of available resources to facilitate enhanced student self-sufficiency and self-direction.

Group Academic Advising:

Offer group advising to support transition and retention. As needed support Academic Advisor IIs in the development, coordination and implementation of group advising sessions to meet specific needs of targeted student populations. Work closely with office staff, faculty and/or other academic entities to appropriately tailor group advising sessions.

Development of Position Expertise & Analysis:

On an on-going basis, continually develop and expand upon knowledge on engineering careers related to majors, curriculum for each major, prerequisite sequencing, course plans, etc. Develop knowledge of advising resources available to students, systems available to Academic Advisors (SIS, iReports, Check-in Systems, SAAS, etc.) to support the advising function. Develop knowledge and use professional development resources that expand knowledge of position and field.

Use Academic Advisor IIs, campus colleagues and Manager as resources to support growth in the position.

Exercise good judgment, patience in research of advising concerns, evaluating unique needs of each student. Take the time to appropriately prepare for each advising session, respond to academic concerns expressed via email, etc. Evaluate needs, research policies as needed and use to support advising decisions and orient students. Close each advising session documenting findings and feedback.

Incumbents at the Academic Advisor I level may be assigned more limited duties than those at the Academic Advisor II level and have not yet reached the level of skill proficiency required at the next classification level, but the primary distinction is the degree of independence with which the incumbent performs a wide variety of academic advising functions.

In addition, at the Academic Advisor II level the incumbent will provide journey/operational level support while advising students on issues related to academic, career and life goals. Additionally, incumbents provide resolution recommendations to faculty on a variety of academic advising matters. Incumbents may supervise the work of entry level student academic advisor I's.
Advising Program Coordination and Support 35
Under general supervision, incumbents provide fundamental academic advising support, primarily helping students acquire relevant information and services. Additionally, incumbents participate in the development of resolution recommendations for faculty on a variety of academic advising matters.

Retention and Enrichment Programming:

Work in support of or under the guidance of Academic Advisor IIs using best practices and available research to develop, implement and assess activities designed to retain current students and enrich their educational experiences; collaborate with Campus and College colleagues to support the development of programs and tools which enhance advising and encourage student success.

Current programming managed by the unit includes, but is not limited to: cohort based group advising by major, academic recovery, peer mentoring, faculty mentoring, learning communities, readmission advising, supplemental instruction, early interventions, and new student orientations, etc.

Advising Program Support :

Represent BCoE and its majors in campus outreach and recruitment events initiated by the Office of Undergraduate Admission.

Work with Academic Advisor II to support coordination of course plans, quarterly course schedules and other curriculum related roles assigned to the office; provide general college and departmental support.

Other duties as assigned.

In addition, at the Academic Advisor II level the incumbent will provide journey/operational level support while advising students on issues related to academic, career and life goals. Additionally, incumbents provide resolution recommendations to faculty on a variety of academic advising matters. Incumbents may supervise the work of entry level student academic advisors and/or administrative support personnel.

Master's degree and 2 - 3 years of academic advising or related experience; or equivalent combination of education & experience; and knowledge and abilities essential to the successful performance of the duties assigned to the position.

Ability to work independently while maintaining cooperative working relationships with co-workers in a team environment. Strong following through on assignments with general direction.

Ability to prioritize relative importance of responsibilities, multi-task, adapt, and execute with quality and efficiency.

Demonstrated strong communication skills including writing and speaking with clarity to individuals and in groups.

Demonstrated strong relational skills, including the ability to exercise tact and diplomacy when communicating with campus and community representatives, institutions, parents and students.
