Position Purpose

Under the general direction of the Financial and Administrative Officer (FAO) of the Economics/Political Science Administrative Unit and under general supervision of the Student Academic Affairs office, the successful candidate is the responsible for all aspects of the undergraduate student affairs functions of the Departments of Political Science and Economics. Under closer supervision, uses principles of developmental academic advising and knowledge of teaching and learning theory to promote academic, career and life goals in an effort to support student retention, timeliness to degree, academic success, as well as intellectual and personal development. Researches, interprets, applies and clarifies University policy in this area and exercises independent judgement in day-to-day student affairs and advising matters.

1. Discuss, clarify and provide fundamental advice to potential & enrolled students in the areas of education, career and life goals and develop meaningful educational plans in consideration of individual personal, social and academic issues:

a. Identify advising needs of prospective and continuing students and independently respond to requests for information from the student and their parents (with appropriate authorization).
b. Provide orientation and initial academic advising and program planning for all new students in the major and in joint and cooperative majors/minors.
c. Interpret and clarify policies and procedures and provide recommendations based on individual circumstances.
d. Act as liaison between students and faculty advisors, ensuring necessary appointments are scheduled and the faculty advisors' recommendations are transmitted.
e. Consult with faculty from represented departments to ascertain departmental opportunities and clarify major curricula.
f. Reinforce student self-direction and self-sufficiency.
g. Make appropriate referrals to student support services across campus, informing students of educational, institutional, and community resources and services (e.g., internship, study abroad, honors, research opportunities, etc.).
h. Discuss evaluations of transfer credit with students and provide information for articulation agreements.
i. Advise students desiring to enter one of the represented majors.
j. Identify students with outstanding academic records and make recommendations for campus and departmental awards and fellowships.

2. Monitor student success and initiate appropriate educational plan changes, including referral to campus student support centers:
a. Monitor and inform students of their academic progress; recommending and facilitating procedures to remove deficiencies; provide guidance to students seeking exceptions to policies; monitor progress of students on probation or subject to dismissal; and approve student course enrollments. Advise students on academic probation and prepare necessary paperwork to disqualify students from the major.
b. Use available technological tools to assess student's academic advising needs and to implement appropriate programming.
c. Develop programming specific to student's needs from the first-year through graduation.
d. Ensure completion of preliminary and formal degree checks, including completeness, accuracy and appropriate approvals where necessary.
e. Ensure an accurate list of degree candidates is created and maintained, while monitoring their progress to assure completion of all requirements and paperwork.
f. Review enrollment change forms, petitions, major changes and other required student, department and college forms.

3. Provide academic advising to dismissed and lapsed students pursuing readmission through University Extension Concurrent Enrollment (UCRX):

a. Assess student's progress toward readmission through UCRX transcript review and analysis of GPA variance.
b. Enforce College Office policies regarding UCRX coursework.
c. Monitor senior residency issues.
d. Act as principal CHASS academic advising liaison to University Extension, apprising the College of policy, procedural, and other changes when necessary.

4. Attend pre-service and in-service training sessions and pursue ongoing professional development.

5. Attend student affairs meetings conducted by campus departments.

6. Outreach Activities

a. Participate in campus events such as Preview Day, Orientation, Welcome Week, Discover UCR, etc.
b. Act as liaison with the Career Services Center for student summer jobs and placement. Serve as department focal point for all campus and off-campus inquires regarding undergraduate affairs.
c. Update recruitment materials as needed.
Academic Advising Support Function 20
1. Ensure accurate completion of relevant student documents.
2. Develop student data/profiles using Data Warehouse and other tools as available.
3. Maintain record of advising contacts in SIS+.
4. Update student records in SIS+ to ensure accuracy.
5. Prepare and maintain courses and catalog copy. Submit courses through the Course Request and Maintenance System (CRAMS) and the catalog office.
6. Prepare information and analytical reports for administration and/or program chairs.
7. Prepare quarterly course times and location in consultation with the Chairs, FAO, and faculty. Update SIS+ with current information including enrollment limits.
8. Assist FAO in monitoring course enrollments.
9. Coordinate and prepare development of Internship Programs for undergraduate quarterly.
10. Perform other duties as assigned.
