Position Purpose

Under the general supervision of the Marketing and Communications Manager, the Communications Specialist is responsible for the implementation of all electronic and print communication plans and coordinating multiple recruitment and yield events for prospective freshman and transfer undergraduate students, both California resident and non-resident, and guests. This position will also provide direct supervision of four (4) Marketing Interns, to include recruitment, selection, training, evaluation, discipline and monitoring of assignments to ensure tasks are completed in a timely manner.

1. Under the direction of the Marketing Communications Manager, plans, coordinates, and executes assigned UCR recruitment, yield, special, and informational events for prospective students, parents, teachers and counselors, in both live and virtual settings (Puente End of Year Celebrations, international admission information sessions, Counselor Connection workshops, etc).
2. Assist the Marketing Communications Manager with the planning, executing and evaluating of major events for prospective students and high school and community college counselors, involving multiple campus departments and large numbers of guests. (Discover Day, Highlander Day, Scholarship Celebrations, etc.)
3. Chairs the Undergraduate Admissions Event Execution Committee.
4. Develops, maintains, and ensures distribution of prospective student communication plans utilizing multiple modes of delivery (e-mail, US mail, Web) within Undergraduate Admissions in partnership with SA Communications and EM Systems.
5. Develop and maintain positive working relationships with campus departments to ensure all policies and procedures are followed (i.e. Risk Management, UCR Police Department, Transportation and Parking Services, Non-Academic Scheduling, Dining Services, Physical Plant, etc.)
6. Manages the Undergraduate Admissions social media sites, such as Facebook and Twitter accounts, and monitors communications on Websites outside of the control of the University, including College Confidential, College Prowler, and others to respond to questions and misconceptions about UCR and admissions.
7. Supervise general set up and clean up of event areas.
8. Required to be present at all Undergraduate Admissions events.
9. Assists the Marketing Communications Manager with development, maintenance, execution and evaluation of a robust targeted communication plan, ensuring that communications take place as planned.
10. Provides both substantive editing and copy editing for Undergraduate Admissions letters and electronic communications.
11. Works with SA Communications, EM Systems, and the Marketing Communications Manager to update and troubleshoot MyUCR messaging for prospective students.
12. Manages information collection from various sources, such as contact cards, Zinch, Cappex, etc, and ensures that all information is promptly input into the UGA contact database, and evaluates the benefits of each source.
Outreach and Recruitment 30
1. Provide recruitment presentations to tour groups (prospective freshman, transfer, California resident and non-resident, and educators) as needed.
2. Represent UGA during weekend and evening events in small and large group environments by facilitating presentations in both live and virtual settings.
3. Understands and can communicate information on admissions criteria, application, admission and yield rates, and new student profiles, including average GPA, test scores, ethnicity, and total campus population for use in presentations and communication materials.
4. Provide specialized information geared towards the needs of groups such as Puente, TRIO, AVID, business and medical academies, and other groups.
5. Develop and edit presentation materials on a wide variety of subjects (i.e. freshman, transfer, and international admission, campus life, financial aid, etc.) for use in a wide variety of settings (i.e. on-campus information sessions, campus events, application workshops, etc.)
6. Develop standardized responses to common questions for use during in person meetings, telephone conversations, and electronic communications (i.e. email, online FAQ's, social media sites, etc.)
7. Assist in developing and implementing strategies to increase the applications and yield of high achieving students to UC Riverside.
8. Support of counseling and student outreach done by admission counselors through Undergraduate Admissions CRM, Intelliworks.
Supervision 25
1. Directly supervise four (4) Marketing Interns, including recruitment, selection, training, evaluation, discipline, work assignments and time management.
2. Annually develop extensive training sessions and materials student staff can use in communicating with prospective students, parents, counselors, etc.
3. Conduct Marketing Intern meetings on a regular basis.
4. Review student timesheets, delegate daily tasks, and coordinate student schedules to provide coverage for all operational needs and special events.
5. Provide structured professional growth opportunities (including constructive feedback, training and development) for Marketing Interns so that well-trained and informed students represent the University, further enhancing the department's ability to meet its goals.
6. Coordinate social events for Marketing Intern staff to foster teamwork, maintain morale, and recognize accomplishments through awards and recognition.

1. Attend professional development workshops/conferences each year (i.e. workshops offered through UCR Human Resources, professional development conference, etc.)
2. Work as part of a team in the planning and organization of strategies to meet unit needs, to include participation on committees and ongoing communication and marketing projects.

Minimum Requirements

Bachelor's degree in a related field and/or prior experience as a professional level student affairs officer; and/or equivalent combination of education and experience.
