Position Purpose

The University of California, Riverside Libraries welcomes applicants for the position of Reserves and Public Services Coordinator to work for the Multimedia and Music Libraries, with an emphasis on digital resources and streaming film and audio files. We are seeking an experienced, customer-friendly professional to join our team and provide technical support for the audio/visual equipment in both libraries and act as a liaison to the UCR Libraries Cyberinfrastructure Unit in order to facilitate the implementation of streaming of audio and audio/visual files for Reserves. This position is 51% time in the Multimedia Library and 49% time in the Music Library. Must be able to work Monday-Friday 8:45 am-5:45 pm during the academic year. Must be able to work flexible hours for staffing in backup situations. Hours may vary from quarter to quarter. Hired applicant must successfully pass a background check.

Reserves Responsibilities 40
Possesses and maintains a familiarity with the basic policies and procedures of the UCR Libraries, as well as with the specific operational policies of both the Multimedia and Music Libraries. Independently interprets and applies these polices and procedures in person, over the phone and in e-mail correspondence.

Resolves patron complaints and problems according to established UCR Libraries and departmental policy. Approves exceptions to policy, except when it would establish new departmental or library policy. Refers those outside of the scope of written policy to the Multimedia or Music Library Manager.

Provides administrative support to the Multimedia and Music Library Managers in maintaining statistics on gate counts, informational/directional questions, equipment use, etc.

Regularly, at least two times a day, checks the Faculty Reserves Request System for items to be placed on reserves. Processes items on lists to achieve 24-48 hr. turnaround time, assuring information is accurate, and updated and maintained in both the Faculty Reserves Request System and Millennium.

Searches the UCR Libraries catalog and MELVYL for titles requested by faculty to verify call numbers and accuracy of author/title/director/composer information.

Prepares faculty-owned materials for reserves according to established procedure by creating a brief bibliographic record, and applying a barcode, call number, etc., to the physical item to ready it for checkout.

Communicates with faculty over the phone, by e-mail, or in person to explain Reserves Services policy or resolve issues associated with putting items on reserves; e.g., insufficient or incorrect information, location mix-up, inappropriate loan period, no list submitted, etc.

Weeds items from reserves at the end of the quarter, according to established procedure. Clears notes from records, deletes course records and deletes bibliographic records of faculty-owned items.

Contacts faculty members by e-mail to advise that personal copies of reserves items are ready for pick-up. Follows up with additional e-mail and/or phone call if items are not picked up in a timely manner.

Instructs library users on the use of audio/visual equipment at viewing/listening stations and in viewing rooms. Updates written instructions for equipment as needed.

Maintains a current knowledge of audio/visual media equipment for the two libraries, including CD/DVD/VHS Blu-ray and laser disc players, TV equipment, and video gaming equipment. Troubleshoots equipment problems and performs minor repairs.

Keeps abreast of new technologies that might influence or change the applications of media, such as streaming films and music online for reserves use.

Serves as the liaison to the UCR Libraries' Cyberinfrastructure Unit in order to facilitate the streaming of media files.

Receives and resolves to the extent possible, complaints about minor problems such as lighting, discomfort from heating and cooling systems, noise level, or malfunction of equipment or technology. Reports problems to either library or building facilities, or UCR Libraries Cyberinfrastructure Unit personnel as appropriate, and/or discusses resolution of complaint with library manager.

Functions as the coordinator and contact for emergency situations occurring in the absence of the Multimedia or Music Library Manager. Contacts other UCR Libraries' public service desks, supervisors, police, fire department, Environmental Health and Safety, etc. Uses judgment to resolve those problems falling outside of established procedures.

Maintains confidentiality as required by library and university policy.

Performs other duties and special assignments as requested by the Multimedia or Music Library Manager.
Public Services Responsibilities 40
Anticipates patron approach to service desk and provides accurate, courteous service.

Maintains current knowledge of all circulation desk functions and procedures, performing these duties as necessary.

Prepares the Multimedia or Music Library for opening Monday-Friday, depending on schedule, following established procedures.

When opening the Multimedia Library, empties the outside media/book return prior to the opening of the Multimedia Library, assuring the return flaps are locked during the hours the Multimedia Library is open.

Prepares the Music Library or Multimedia Library for closing Monday-Friday, depending on schedule, following established procedures.

Processes incoming mail and books/media as required, according to established procedures.

Maintains current knowledge of patron categories and privileges, and issues library cards to library users.

Answers basic questions in regard to Multimedia and Music collections.

Consults regularly with the Multimedia and Music Library Managers on public service needs to ensure appropriate service response to library users.

Writes and distributes Security Report Forms as required, following established UCR Libraries procedures.

Interprets and is able to carry out UCR Libraries and campus-wide safety/emergency procedures should the need occur; i.e., determines when to evacuate, when to call police, and/or steam plant.
General Departmental and Library Responsibilities 10
As needed, orders supplies for the Multimedia and Music Libraries.

Identifies items in need of repair or replacement. Forwards repair items to the Preservation Dept., notating the disposition of the item in the UCR Libraries catalog. Gives items in need of replacement to the Multimedia or Music Library Managers for replacement decision/ordering.

Participates in inventory or collection maintenance projects as assigned by the Multimedia or Music Library Managers.

Participates in staff meetings and committees as requested.

As required, may be assigned other special duties or projects by the Multimedia or Music Library Managers.
Millennium (Integrated Library System) Responsibilities 10
Maintains current knowledge of all Millennium modules as they relate to the Multimedia/Music Circulation and Reserves Services.

Resolves, to the extent possible, system and equipment problems occurring during the absence of the Multimedia or Music Library Manager.

Follows back-up procedures (offline circulation) for check-out when the Millennium System is down.

Runs notices for the Multimedia and Music Libraries daily, including overdue, paging, fines and bills, distributing notices according to procedure. Processes the paging list, preparing items for the "Hold Shelf" or other locations of the UCR Libraries.

Runs and processes the Multimedia and Music Libraries "Clear the Hold Shelf" program daily for both libraries.

Inputs and updates patron and item records into Millennium as required.
