Position Purpose

In consultation with the Associate Executive Director, the Director of Constituent & Scholarship Programs is responsible for developing and directing a comprehensive program to actively engage UCR's constituencies, including: parents, staff retirees, emeriti faculty, and alumni association scholarship committees to advance University Advancement objectives in support of UCR.

Identify, conceptualize, plan and implement new programs that strengthen constituent relationships and help to build a culture of philanthropy. Manage, develop and grow the Parents Association and the University of California, Riverside Alumni Association (UCRAA) sponsored scholarship programs. Incumbent also will participate in other UCRAA programming as assigned. Major duties include organization of programs, meetings and events. Oversee logistics in preparation for events, programs, and scholarship programs. Send appropriate invitations and confirmations. Prepare general correspondence and meeting materials. Assist with marketing and promotional strategies. Provide counsel to volunteers. Other responsibilities include participating in committees and task forces; budget and financial administration; providing advice and counsel in areas relating to UCRAA parents, emeriti and retirees and student scholars strategy.

Constituent Relations 50
Develop goals, objectives, and metrics for each program to ensure that the program meets the goals and falls within the mission of UCRAA. Responsible for formulating, securing appropriate approval, and executing a detailed action plan for each event to ensure that it achieves the agreed upon goals and objectives.

Parents Association
Responsible for developing strategies, planning/implementing, and analyzing a year-round schedule of programs and events for parent members, prospective members and guests. Manage the planning and execution of the UCR Parents Association within budgetary constraints, including execution of quarterly meetings, Parent of the Year Award, parent volunteer opportunities (e.g., student recruitment events, commencement, summer orientations). Track points for parent participation in volunteer opportunities. Work closely with the Associate Executive Director on all aspects of Homecoming and Parents Day. Develop, propose, and manage budget including strategic cost-benefit analysis. Investigate and follow-up on funding opportunities (sponsors, grants, etc.). Coordinate with campus departments and programs in order to share information with parents, including: Student Life, the Honors Program, Housing, The Well, Student Recreation Center, UC Police Department, Risk Management, Strategic Communications, etc. Work in partnership with Development’s annual giving team to develop philanthropic initiatives.

Emeriti Faculty/Retiree Associations
Serve as the primary liaison to the Emeriti Faculty and Retiree Associations. Attend board committee meetings for each group. Assist in coordination of quarterly meetings including planning and logistics. Assist in the production of quarterly newsletter.
Scholarship Programs 25
Manage the UCR Alumni Association Scholarship Program which includes the administration of the Alumni Association freshmen scholarships, and all other scholarships administered by the Alumni Association. Serve as primary liaison to the Scholarship Selection committee of the UCRAA Board of Directors. Serve as primary liaison to scholarship recipients. Assist in donor stewardship, where and as appropriate, and contribute to the planning as appropriate. Prepare, in consultation with supervisor, materials and communications for scholarship committee meetings. Manage scholar Web pages and content, monitor financial aid sites and others as they pertain to scholarship. Maintain database and files on current scholars.

Review annually established guidelines and procedures and make recommendations for improvements. Analyze resources available to improve the organizational structure of the scholarship program.

Promote the scholarship program to the alumni and campus communities. Recruit alumni volunteers to serve on regional scholarship selection committees. Advise and oversee scholarship committee activities. Serve as the primary liaison to the Financial Aid and Admissions offices, as well as other appropriate campus partners in the execution of UCRAA-managed scholarships in promoting scholarships to eligible students and providing recipient summary reports.
Homecoming and Parent's Day 20
Develop programming, time lines, and plans of action for parent activities during Homecoming. Manage budget, schedule facilities, and order all services/supplies to execute events. Arrange and implement all logistical arrangements for programs and events including site inspection, menu selection, entertainment, audio-visual, parking, directional signs, printing and recognition items. Oversee timely creation and production of invitations, programs, and all other event-related correspondence including confirmation letters in consultation with marketing.

Brief program participants and staff assistants on their roles and assumes independent responsibility for executing plans. Responsible for providing background material about the program and for drafting remarks for administrators and volunteers based upon goals and objectives of the program.

Evaluate programs for their effectiveness and impact on the university and the community and make sound recommendations for changes and/or enhancements.

Enlist and involve volunteers as needed to augment and support UCRAA programs.
Miscellaneous Duties 5
Respond to inquiries from various constituencies regarding volunteer opportunities. Research projects and implement programs as assigned by the Assistant Vice Chancellor for Alumni & Constituent Relations. Serve as the coordinator for alumni related activities at the Alumni & Visitors Center, such as art receptions held in the Goldware Family Library.
